SUMMARY

The primary purpose of this position is to accurately track and control group room blocks and data entry of reservations information.

EDUCATION and/or

EXPERIENCE:

High school diploma or general education degree (GED) and a minimum of one year hospitality, sales or customer service experience; or an equivalent combination of education and experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Accurate computer entry of group reservation details (including deposit information) from rooming lists, reservations forms, online reservations and call-in reservations.
  • Interface with meeting planners regarding rooming list changes, VIP reservation block vs. rooms picked up & all rooming list changes.
  • Provide personalized service to guest inquiries related to conference groups.
  • Monitor group room block release dates and contact meeting planners or EMS’s to review room blocks and revise as necessary.
  • Keep supervisor informed of potential opportunities relating to group control room blocks and hotel availability.
  • Monitor package code assignment & communicate with accounting for them to be attached.
  • Contribute to social sales room revenue by converting social guest inquires to booked reservations.
  • Contribute to group sales room revenue by maintaining accurate room blocks, adhering to block release dates, charging deposits on all non-rooming list reservations & creating accurate reservations without duplication.
  • Serve as back-up to Social Sales Coordinators as needed; answering additional call types as business levels demand.
  • Communicate professionally and timely with various departments and meeting planners regarding group reservations.
  • Become proficient with NAVIS, Visual One and Golf Pro systems to accurately make reservations and tee times.
  • Attend pre-convention meetings, post-convention meetings & planning sessions with groups as needed.
