Position Summary
The Senior Accountant is responsible for overseeing the company’s day-to-day accounting operations, with primary responsibility for accounts payable, accounts receivable, and general ledger management in Quick Books Online. This role ensures financial transactions are recorded accurately, reconciliations are completed timely, and internal controls are followed. This role supports month-end close, assists with financial reporting, and provides accurate financial data to company leadership to support decision-making.
This position requires strong accounting knowledge, hands-on Quick Books Online expertise, and the ability to work closely with vendors, customers, and internal teams to safeguard the accuracy and integrity of the company’s financial records.
Enter, code, and post all vendor invoices into Quick Books Online with proper GL classification.
- Collect and review vendor setup documentation (W-9s, ACH/banking details, vendor packets) and maintain accurate vendor master records.
- Manage vendor relationships: respond to inquiries, resolve discrepancies, and provide timely payment status updates.
- Ensure completeness of invoice submissions from email and procurement systems before entry.
- Reconcile corporate credit card transactions and maintain funding trackers in QBO.
- Ensure compliance with payment terms and assist with cash flow forecasting related to payables.
- Prepare and distribute customer invoices through Quick Books Online and ensure accurate posting.
- Set up and maintain customer master records, including payment terms, billing contacts, and credit card/ACH information.
- Reconcile invoices against purchase orders, contracts, and shipping records for billing accuracy.
- Monitor receivables aging, issue reminders, and escalate collection activities as necessary.
- Record customer payments and reconcile to bank deposits in QBO.
- Perform monthly reconciliations for AP, AR, bank accounts, and credit card accounts.
- Assist with journal entries, accruals, and adjustments as needed for accurate month-end close.
- Support the preparation of financial statements, management reports, and variance analysis.
- Conduct periodic audits of vendor and customer master records to remove duplicates and ensure data integrity.
- Assist with budget tracking, cash flow monitoring, and ad hoc financial projects as assigned.
- Required:
2+ years of hands-on Quick Books Online experience (including AP, AR, reconciliations, and reporting). - Understanding of GAAP accounting principles and month-end close processes.
- Demonstrated ability to manage both vendor and customer communications professionally.
- Proficiency in Microsoft Excel.
- Highly detail-oriented, organized, and able to manage multiple priorities.
- Must reside in the Dallas, TX area with the ability to work in-office as needed.
