Position OverviewAs the Contracts Administrator, you will support the Director of Contracts & Negotiations and General Counsel in managing the full lifecycle of the Company’s management contracts with its clients across all states. Primary responsibilities include contract tracking and management, initial basic contract reviews, drafting amendments and renewals using existing templates, post-execution validations, and maintaining a contract repository. You will also review documentation to ensure adherence to processes and controls established by the legal team.
This is an in-office role located in Plano, Texas, with potential to become a hybrid role after one year. Applicants should be located within the greater DFW area.
- Conduct an initial due diligence on legal name verification and entity status upon contract generation.
- Draft amendments and renewals using existing templates with a same‑day turnaround time.
- Review amendments and renewals for completeness and accuracy, including spelling and formatting, and address deviations.
- Ensure live updates of contract status and key dates (e.g., commencement dates, renewals, terminations).
- Maintain an internal record of amendments and renewals with proper version control, records, and audit trails.
- Maintain an accurate live contract tracker and contract repository with up-to-date information.
- Monitor group contract emails for receipt of fully executed contracts in accordance with company policies.
- Review and follow up on the status of open contract negotiations with internal team members.
- Conduct post-execution verification of required signatures, dates, and any unapproved deviations.
- Contribute to continuous improvement of the contract management process, tools, and workflows.
