Spa Coordinator – Hospitality Team

Position Overview

Our Spa Coordinators play a vital leadership role in ensuring the spa operates seamlessly and in alignment with Woodhouse standards. The role oversees daily spa operations, supports the hospitality team, and ensures consistent execution of service, safety, and brand expectations. In partnership with ownership and leadership, the coordinator contributes to strategic planning, team development, and operational excellence through hands‑on support and real‑time coaching and feedback.

Work

Hours
  • Monday–Friday: 9:00 a.m. – 7:00 p.m.
  • Saturday: 9:00 a.m. – 6:00 p.m.
  • Sunday: 10:00 a.m. – 6:00 p.m.

Additional leadership responsibilities may occur outside the regular MD coverage shifts.

Essential Duties
  • Serve as Manager on Duty with authority over all operational matters while on shift
  • Ensure exceptional guest experiences and resolve concerns in real time
  • Provide guidance and support to staff to maintain operational excellence
  • Communicate daily priorities and expectations
  • Optimize scheduling and maintain quality control standards
  • Receive, verify, and manage spa inventory and supplies
  • Address urgent maintenance issues promptly
  • Provide hands‑on training, in‑the‑moment coaching, and feedback
  • Prepare and deliver daily reports to leadership
Additional Responsibilities
  • Manage team schedules and arrange staff coverage as needed
  • Participate in hiring, onboarding, and training new team members
  • Coach and develop team members with 30‑, 60‑, 90‑day check‑ins and annual performance reviews
  • Track professional licenses and ensure compliance with state regulations
  • Ensure treatment rooms, protocols, and product usage meet Woodhouse standards
  • Manage equipment maintenance, repairs, and inventory
  • Oversee budgeting for supplies, retail, and operational expenses, and ensure cost‑effective practices
  • Uphold guest service and quality control standards daily
  • Ensure the safety of guests and team members in accordance with safety policies
  • Coordinate and prepare for inspections and audits
  • Assist leadership in overall spa management and strategic initiatives
  • Educate guests on spa services and retail products
  • Assist with purchase orders, inventory management, and Zenoti database tracking, including identifying under‑performing products
  • Protect and uphold The Woodhouse Brand and all corporate protocol
Organizational Relationships

The Spa Coordinator reports directly to the Spa Owners and manages all hospitality team members, including Concierge and Spa Attendants.

Desired Skills
  • Minimum 5 years spa experience, including 5 years of management experience
  • Leadership, flexibility, retailing, training, superior communication, sales, administration, advanced computer and organizational skills
  • Experience with Zenoti, Millennium, or Meevo spa software preferred
  • Team‑player mindset with an understanding of staff happiness and a positive workplace culture
  • Availability to work evening and weekend shifts as needed
Working Conditions
  • Standing for up to 6 hours at a time
  • Walking across spa multiple times during shift and potentially up and down stairs
  • Lifting up to 30 lbs, bending, reaching, stooping, repetitive motion
  • Reasoning, problem solving, hearing, speaking
  • Fast/steady‑paced environment, multiple priorities
  • Frequent customer interactions
  • Ability to adapt to changes
