Role Overview

The Executive Assistant is a high-ownership operator whose mission is to maximize the CEO’s efficiency, protect their time, and create operational clarity across the business.

You are the right hand to the CEO—ensuring communication, tasks, and systems run smoothly so the CEO can stay focused on high-leverage activities such as strategy, growth, content development, and client success.

This role is ideal for a driven, emotionally mature, low-ego, high-ambition recent graduate who wants real exposure to how a modern, story-driven media company is built and scaled. You’ll gain hands‑on experience across brand building, operations, marketing, leadership, event planning, and high‑level business strategy.

Key Responsibilities
  • Email & Communication Management
    • Review, filter, and prioritize the CEO’s inbox
    • Respond to appropriate emails professionally and promptly
    • Flag only critical items that require the CEO’s attention
  • Calendar & Meeting Management
    • Maintain the CEO’s calendar using the Great Day Formula
    • Schedule recordings, strategy sessions, and team meetings
    • Ensure meetings are intentional, strategic, and not reactive
  • Event Planning & Coordination
    • Plan and execute client meetups, workshops, and corporate events
    • Manage logistics, RSVPs, guest experience, and on‑site setup
  • Marketing & Brand Support
    • Support consistent posting across the CEO’s personal brand and Micheletti Media
    • Assist with content scheduling, organization, and monthly cadence planning
  • Podcast Scheduling & Operations
    • Outreach and coordinate podcast guests
    • Maintain a rolling 4‑week pipeline of recorded or scheduled interviews
    • Assist with equipment setup when needed
    • Track business expenses and receipts
    • Monitor basic cash‑flow items
    • Ensure client payments are received on time
  • Project Tracking & Organization
    • Maintain timelines for major initiatives
    • Provide weekly project status updates to the CEO
    • Keep the CEO’s task list clean, prioritized, and actionable
  • Office & Hospitality Duties
    • Maintain the office daily at a 5‑star hotel standard
    • Prepare the space for client sessions, recordings, and meetings
    • Stock snacks, drinks, and client preferences
  • Content Delivery & Team Communication
    • Upload, organize, and catalog content after shoots
    • Communicate daily with the editing team
    • Ensure deadlines are met and deliverables are never late
  • High performers can grow into:

Requirements
  • 1+ year experience in assistant, operations, or admin roles
  • Strong written and verbal communication
  • Ability to respond to messages within 15 minutes during working hours
  • Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar)
  • Highly organized with a calm, focused demeanor
  • Comfortable with physical tasks (cleaning, setting up equipment)
  • Interest in podcasts, content creation, or digital marketing
  • Ambitious, low‑ego, eager to learn
  • Emotionally mature with strong problem-solving skills
