Job Summary
Provide administration and reception duties for maternity ultrasound and antenatal clinic areas.
Responsible for booking, preparing and reception of outpatient clinics. Liaise with consultants, junior medical staff, medical secretaries, central records library and outpatient staff. Provide efficient and reliable service in line with national targets, meeting Trust standards. Provide administration support to early dating scan appointments and first trimester screening programme.

- Receive referral forms from GPs and Midwives and prioritise them.
- Register new patients on iPMS, ensuring double registration does not occur.
- Maintain outpatient waiting lists and submit referrals to iPMS following guidelines.
- Book new and follow‑up appointments using the IPMS system as per Trust waiting list policy.
- Answer telephone calls during specified times for early dating scan appointments, operating a fully booked system.
- Assist with administration of the first trimester screening programme, following Care Group guidelines.
- Telephone patients with urgent or last‑minute appointments as required.
- Undertake reception duties.
- Liaise with Imaging Directorate Departments regarding amniotic, dating and detailed scans.
- Dispatch appointment letters as necessary.
- Prepare clinic pull‑lists and notes for future appointments.
- Computer literate – proven knowledge of Microsoft Word and Excel desirable.
- Demonstrable experience working within the hospital environment.
- Established administrative/clerical experience.
- GCSE English & Maths C & above.
- Excellent organisational skills.
- Ability to communicate at all levels.
- Excellent telephone manner.
- Ability to handle difficult/distressed patients sensitively and empathetically.
