Job Summary
To contribute to the provision of health care to patients and relatives by providing a comprehensive and confidential clerical and receptionist support in relation to emergency attendances and admissions. This service is provided 24 hours each day throughout the whole year. At all times the appropriate systems, procedures, policies and processes should be followed so that patients experience a smooth journey.
Job Responsibilities- Provide full reception service to patients, visitors and staff.
- Ensure all patients are registered, transferred, admitted and discharged correctly throughout their journey in the Emergency Department.
- Input and extract data from the PTient Administration System – WPAS.
- Perform full clerical duties following office procedures to ensure the smooth running of the Emergency Department.
- Co‑ordinate appointments and keep WPAS up‑to‑date at all times.
- Cover a mixture of shifts including days, evenings, nights and weekends on the reception area and clinical shop floor area.
- Respond to enquiries face‑to‑face and by telephone with excellent verbal communication skills.
- Handle sensitive information with confidentiality and provide support to emotional or distressed patients and visitors.
- Deal with communication barriers that may require tact and diplomacy.
- Act as the first point of contact at the Emergency Department.

- Good standard of education (4 GCSEs grade C or above)
- NVQ III or equivalent level of knowledge, training or experience
- Computer literate
- Understanding of office software packages
- Awareness of vulnerable adult and children policies
- Knowledge of patient information systems
- Knowledge of unscheduled care performance targets
- Understanding of medical terminology
- Working independently and as part of a team
- Meeting deadlines and determining priorities
- Previous experience in a customer‑facing, administrative, or clerical role
- Previous experience in a similar role
- Previous NHS experience
- Experience of working with hospital IT systems
- Experience of dealing with the general public
- Good interpersonal and communication skills (verbal and written)
- Excellent customer‑care skills and ability to keep calm in stressful situations
- Use of own initiative and teamwork; accurate data inputting and IT skills
- Good use and understanding of the English language
- Welsh language speaking/listening skills at Level 3 or above
- Training in WPAS or experience with other patient information systems
- Self‑motivated and enthusiastic
- Flexible approach to work, able to work to deadlines and under pressure
- Organised, sympathetic manner and strong team‑working attitude
