The Clellam County Sheriff’s Office is seeking a highly detail-oriented and dependable professional to serve in a critical Property and Records Technician role. This position is responsible for maintaining the physical security, control, and disposition of all evidence and property in the custody of the Sheriff’s Office, including high-value items such as vehicles, controlled substances, currency, and firearms. The role requires maintaining a continuous and meticulous chain of custody, ensuring proper documentation and signatory requirements are followed at all times.
Responsibilities also include conducting detailed research related to the release of firearms and the issuance of Concealed Pistol Licenses, as well as extensive interaction with the public and partner agencies to explain applicable legal processes. Success in this position requires exceptional accuracy, strong organizational skills, and the ability to manage multiple priorities and deadlines while adhering strictly to state and federal laws, accreditation standards, and departmental policies and procedures.

- Responsible for the security, integrity, and control over all evidence storage facilities maintained by the department.
- Receives, sorts, and secures all property delivered to the evidence room.
- Operate computer system to enter submitted items into the department evidence tracking system.
- Responsible to preserve the critical chain of custody on each item.
- Maintain continuous and meticulous chain of custody of each evidence item, from time of receipt until final release from evidence custody, including appropriate signatory requirements for handling evidence and property. This may include maintaining various reports, logs, databases, and files.
- Manage and execute dual entry recordkeeping system (computer data entry, tracking, analysis) and accompanying hard card signatory chain of custody, which includes on-hand inventory, disposition history and inter-agency transfers. Ensures and is responsible for reconciliation of electronic and paper tracking data.
- Respond to evidence inquiries from the general public and/or official authorities in person, telephonically, or electronically to provide identification, location, and dissemination of evidence held by the Sheriff’s Office.
- Provide documentation and inspection services for evidentiary matters to the department, prosecuting attorney, other law enforcement agencies, and courts system.
- Identify items ready for final disposal and communicate with officers for authorization to release identified items.
- Respond to authorizations for release of items prepared by case officers and take appropriate action for return to owner/destruction/auction as appropriate.
- Document and execute the physical destruction of each item, including controlled substances and firearms in conjunction with designated witnesses.
- Attend training and stay current with state law and best practices and provide input into department policies and procedures regarding evidentiary procedures.
- Provide scheduling coverage as needed, including reception and routing services for walk in persons to the Department; respond to in-person counter inquiries and multi-line telephones and refer individuals to the appropriate agencies or departments; provide information to the public using departmental policies, procedures, guidelines, RCW, Washington State Code, and County Code and Policies, receive and process payment for established permits or services.
- Fingerprint individuals for Concealed Pistol Licenses; train and maintain expertise to provide the best techniques for assurance that fingerprints are legible and acceptable for submission to Washington State.
- Update departmental personnel on current policies/procedures for packaging, documenting and submitting evidence materials for storage and integrity. Provide department personnel with appropriate packaging supplies.
