Administration Assistant (Maternity Cover)

Salary: £24,665 – £30,591 per annum

About the role

Full‑time, 12‑month fixed‑term contract covering maternity leave. Join the Caledonian Maritime Assets Ltd team in Corporate Services.

Responsibilities
  • Monitor incoming telephone calls and take relevant action
  • Act as first point of contact, meet and greet clients, and organise visitor hospitality
  • Open mail daily, maintain mail register and distribute mail and email
  • Monitor enquiry inbox and take relevant action
  • Monitor office supplies and order as required
  • Organise travel and accommodation for colleagues as needed
  • Log and submit director expenses (personal and company credit card) as required
  • General administration functions: filing, scanning, photocopying, etc.
  • Ensure meeting rooms are prepared and maintained in a clean state
  • Stand in for Office Coordinator during absences
  • Manage a variety of tasks and demanding time‑scales
  • Work with spreadsheets and databases
  • Manage complex processes while keeping parties informed

Work environment

Head office on Clyde Estuary, Port Glasgow. Modern working environment with excellent road and public transport. Core office hours Monday–Friday, 08:30–17:00.
