Part-time Administration Clerical Assistant

THE CITY OF PORT HURON IS CURRENTLY ACCEPTING APPLICATIONS FOR THE FOLLOWING PART-TIME EMPLOYMENT OPPORTUNITY:

ADMINISTRATION CLERICAL ASSISTANT

GENERAL STATEMENT OF DUTIES: Provide administrative support to the City Manager and Deputy City Manager. This position provides assistance to the City Administration Department by performing routine and complex administrative, technical and professional work on a variety of tasks and projects.

SUPERVISION RECEIVED: Work is performed under the general supervision of the City Manager and/or direct supervision of the Deputy City Manager.

TYPICAL EXAMPLES OF WORK: An employee in this class may be called upon to do any or all of the following: (These examples do not include all the tasks which the employee may be expected to perform.)

  • Provide administrative support to the City Manager and Deputy City Manager.
  • Answer phone calls, return messages, and greet/direct in-person visitors to the City Administration Department.
  • Prepare various reports, projects and presentations using Microsoft Word, Excel and PowerPoint.
  • Coordinate and schedule meetings using Microsoft Outlook. Review meeting requests for Room 408 and the Harvey Center, and accept or deny each request.
  • Attend meetings, as requested, to take/transcribe detailed notes and assist with follow-up.
  • Prepare agenda items for City Council in an accurate and timely manner. Assist the City Manager with compiling and creating the City Council agenda.
  • Prepare and post department specific bid documents for purchases, as needed.
  • Assist with conference registration and travel arrangements for the City Manager and Deputy City Manager.
  • Complete monthly credit card reconciliations for the City Manager and Deputy City Manager.
  • Review, organize and compile information received from Department Heads for the monthly City Manager report.
  • Assist with various needs that may arise at the Harvey Center.
  • Assist in planning, coordination, and implementation of Neighborhood Improvement Authority initiatives, including, but not limited to:
    • Prepare meeting agenda, attend meetings, and take/transcribe detailed notes.
    • Enter meeting minutes into the Granicus Agenda program.
  • Prepare and send an invoice to the Wrigley Center for DDA services.
  • Bankruptcy coordination between departments and legal counsel.
  • Assist the Deputy City Manager by distributing budget packets to their various divisions, and assist with data entry of each budget into BS&A.
  • Assist the Deputy City Manager with various clerical and administrative needs across multiple divisions.

DESIRABLE QUALIFICATIONS FOR EMPLOYMENT:

  • Ability to interact positively with colleagues and the public, both written and oral, in order to address inquiries promptly and accurately, resolve issues, build rapport, and foster a welcoming environment.
  • Ability to manage multiple tasks efficiently and simultaneously without compromising quality, prioritize responsibilities, and maintain a structured work environment.
  • Strong time management skills in order to effectively complete tasks within the deadline.
  • Meticulous attention to detail in order to ensure accuracy and completeness.
  • Ability to work independently with little supervision, and take the initiative to assess or improve situations independently.
  • Considerable knowledge and experience with personal computers and using Microsoft Office programs, including Outlook, Excel and BS&A.
  • Flexibility to adjust to changing priorities and work environments.

An employee in this class, upon appointment, should have the equivalent of the following training and experience:

  • Graduation from an accredited high school is required.
  • Must have a valid Michigan Driver License (Operator’s).

Working Hours: 28 hours per week, Monday – Friday, between the hours of 8:00 a.m. – 4:30 p.m.

Salary Range: $16.00 - $20.00 hourly

  • Does not include a benefit package.
