Purpose Statement

The job of Bookkeeper – Teaching and Learning is to provide support to department activities with specific responsibilities for an array of fiscal services for the Teaching and Learning department and school site staff; conveying and updating fiscal information; and ensuring that fiscal practices are followed, and disbursement of funds is within proper and legal guidelines.

Essential Functions
  • Assists with the coordination of Federal, State, and/or local grants for the purpose of meeting Federal and State mandated requirements.
  • Assists auditors for the purpose of providing supporting documentation and/or information on internal processes that are required for audit.
  • Claims, monitors, and supports grants in federal and state grant systems for the purpose of supporting Special Programs and Teaching and Learning.
  • Compiles financial information related to work assignments for the purpose of providing required documentation and/or processing information.
  • Coordinates delivery of supplies and equipment for the purpose of maintaining the Teaching and Learning office and programs.
  • Maintains financial records related to Teaching and Learning department activities and/or programs to ensure completeness and availability of records and compliance with district policy and established regulatory guidelines.
  • Manages purchasing, delivery, and inventory of equipment and supplies for the Teaching and Learning department and programs to ensure efficient and effective operations.
  • Manages multiple department funds (e.g. Federal/State/local grants, etc.) to ensure accuracy of financial transactions and records including fund balances.
  • Monitors the financial management of grants (e.g. budget preparation, budget adjustments, expenditures, etc.) to comply with all program and funding guidelines of awarding organizations.
  • Monitors financial procedures with individuals responsible for the department's financial operations to provide services within established guidelines.
  • Participates in unit meetings, in‑service training, workshops, etc. to convey and/or gather information required to perform job functions.
  • Performs general and program‑specific clerical functions (e.g. distributing purchase orders, scheduling, copying, faxing, etc.) to support departmental activities.
  • Prepares written materials and electronic financial information (e.g. account status, revenue, student fees, gifts and grant funds, state and federal, etc.) to document activities, provide reference, convey information, and comply with established financial, legal and/or administrative requirements.
  • Processes financial information (e.g. purchase orders, check requisitions, etc.) for updating and distributing information, authorizing actions, and complying with established accounting practices.
