JOB DESCRIPTION

JOB TITLE:

Executive Assistant (Supply Chain)

FLSA STATUS:

REPORTS TO:

Vice President, Supply Chain

SUMMARY

This position provides high-level administrative support to the Vice President of Supply Chain and the corporate supply chain team. The Executive Assistant will play a key role in tracking departmental projects and open issues, maintaining and updating supply chain procedures and forms, managing supplier performance metrics, and compiling monthly reports and performance data. This role requires strong organizational skills, attention to detail, and the ability to support a fast‑paced, cross‑functional team environment.

RESPONSIBILITIES

AND DUTIES Project & Performance Support
  • Monitor and track progress of key supply chain projects to ensure deadlines are met.
  • Maintain and update supply chain performance metrics and reports.
  • Assist with the development and maintenance of supply chain procedures and forms.
  • Support quarterly internal capacity assessments and reviews.
  • Assist in the development of the annual supply chain budget and performance metric targets.
  • Track supply chain deliverables for quoting new programs and engineering changes (ECs).
  • Coordinate customer capacity study kick‑off and review meetings.
  • Collect customer capacity requirements to support internal and supplier planning efforts.
  • Prepare purchase orders for capital equipment and other supply chain–related purchases.
  • Track and reconcile invoices in collaboration with accounting.
  • Support corporate insurance activities, including preparing purchase orders and claims.
Administrative & Meeting Support
  • Prepare agendas and take minutes for weekly supply chain staff meetings.
  • Maintain records of team vacation and travel schedules.
  • Perform accurate and timely data entry in support of supply chain functions.
  • Review supply chain reports and data for accuracy and completeness.
  • Create and format presentations, reports, and other documentation as needed.
General Support
  • Perform other administrative duties and special projects as assigned by the Vice President.
EDUCATION AND EXPERIENCE
  • Bachelor’s Degree in a related field, or an equivalent combination of education and experience.
  • 1–5 years of work‑related experience.
SKILLS AND ABILITIES
  • Ability to work on multiple tasks simultaneously.
  • Ability to plan, prioritize and organize a diversified workload.
  • Ability to work with people at all levels throughout the organization.
  • Proficient written and verbal communication skills.
  • Strong interpersonal skills.
  • Forward‑looking thinker who actively seeks opportunities and proposes solutions.
  • Able to complete projects by collecting data, completing analysis, and providing proposals.
  • Demonstrates proactive approaches to problem‑solving with strong decision‑making capability.
  • Highly resourceful team‑player, able to be effective independently.
  • Execute data collection and research, and provide required analysis and feedback.
  • Excellent attention to detail.
  • Demonstrated success in project management.
  • Proficiency in MS Excel, Word, and PowerPoint.
  • Confidentiality, discretion and professionalism.
  • Occasional travel as needed with the Vice President, Supply Chain.
  • A minimum score of 50 on the Wonderlic Select Assessment (Traditional score of 22 on the cognitive portion).
TRAVEL REQUIREMENTS

This position typically does require up to 10% travel.
