In support of The Knight Cancer Group
, this Project Coordinator coordinates the planning and administration of a group of related discrete projects at different stages of completion on an ongoing basis. They will work closely with the Interim Director of Organizational Development and the Interim Director of Strategic Impact to develop the Knight Cancer Group and support the transformation of the patient experience at the Knight Cancer Institute.

These projects include overall project management to develop & initiate project plans; monitoring to maintain and report on progress toward completion; and coordination to document decision‑making, collect and distribute data, and oversee collaboration. This position must provide excellent customer service in workshops, assist with the recruitment and onboarding of new partners, and manage various administrative responsibilities.

Key responsibilities
  • Project management
    :
    Identifies resources and administrative steps needed for project completion; develops project plan in consultation with appropriate participants; initiates project and coordinates steps to ensure participation of appropriate interested individuals and groups.
  • Project monitoring
    :
    Monitors project status and progress towards completion, maintains an ongoing project list (tracker such as Smartsheet with status, task tracking, risk tracking dashboard visualization), and modifies the project plan as necessary.
  • Project coordination
    :
    Organizes procedural administration actions, reviews existing methods and modifies as necessary.
    • Documentation of decision‑making (create format for documenting decisions, get input from people who review, organize documentation for easy reference, etc.)
    • Data collection and visualization (set up format, collect baseline data, collaborate with others as needed) including workshop summaries, org charts, KPIs, data needed for donor reporting
    • Setup and manage KCG SharePoint:
      Knight Cancer Group site for internal collaboration, external way finding of resources/info, and sharing documents with Board, directory.
  • Customer Service (highly visible):
    • Support KCG launch with ongoing participant workshops and listening sessions (book a room, curate invitation list, send out invites, organize the agenda, support facilitation, arrange catering, parking, way finding, follow‑up communication)
    • In collaboration with HR, build a KCG onboarding process and coordinate onboarding of new senior leaders/partners/faculty
    • Coordination of itineraries for executive visits
  • Other administrative responsibilities
    :
    • Agenda building, task management (create agendas for standing and one‑off meetings, communicate tasks and follow up to completion)
    • Collaborate with Knight administration to pay invoices, PCard reconciliation, track expenses, etc.
    • Manage the KCG email inbox (answer questions, elevate, direct to O2, etc., confidentiality)
    • Calendaring and coding calendar pre‑meditating prep time/materials
Required Qualifications

Education and experience:

  • Bachelor's degree in Business Administration, Management, Public Administration or a closely related field may be substituted for up to two years of the required experience
  • Four years of experience as an executive assistant, administrative analyst, researcher or administrative officer which included administrative duties, provision of technical assistance, or operations review.
  • Two of the required years must have included administration or oversight of an on‑going project or program.
  • Note:

    there is no substitution for the two years of administrative experience.
