Position Overview

The Regional Office Administrator is responsible for overseeing and training Office Administrators within their designated region. This role involves providing guidance, education, and support to ensure uniform training and effective performance across the region. Key responsibilities include handling billing, collections, customer service, purchasing, report generation and analysis, inventory control, payroll, and shipping and receiving. The position requires independence and decision-making contributions.

Roles & Responsibilities Organizational Skills
  • Maintain organization and multitask effectively, managing pressures and deadlines with a positive and professional demeanor.
Payroll Management
  • Review and stay updated on payroll rules and policies, especially with Prevailing Wage requirements, ensuring compliance with both State and Federal regulations and are identified early on.
  • Assist and train on how to do certain processes on PVW and send certified payroll as required.
Team Meetings
  • Attend and lead weekly Teams meetings to coordinate and communicate effectively with your Office Administrators in your territory.
Lien Release Knowledge
  • Have experience or familiarity with conditional and unconditional lien releases (contract forms).
Training Program Development
  • Create and implement comprehensive training programs tailored to the needs of Office Administrators in each region.
Training Delivery
  • Conduct training sessions, workshops, and seminars to impart essential administrative skills and best practices.
Policy Education
  • Educate Office Administrators on company policies, procedures, and protocols to ensure consistency and adherence to organizational standards.
Ongoing Support
  • Provide continuous support and mentorship to newly appointed Office Administrators during their initial role period.
Industry Trends
  • Stay current with industry trends and advancements to enhance training curriculum.
Collaboration
  • Work with regional managers and supervisors to identify areas for improvement and develop targeted training solutions.
Feedback and Evaluation
  • Offer constructive feedback and performance evaluations to support professional development.
Problem Resolution
  • Address challenges faced by Office Administrators, providing timely solutions and guidance.
Communication Facilitation
  • Promote effective communication between regional offices to build a cohesive administrative network.
Program Assessment
  • Monitor and assess training program effectiveness, making necessary adjustments for continuous improvement.
Record Keeping
  • Maintain detailed records of training sessions, progress reports, and competency assessments.
Billing and Coordination
  • Oversee billing processes and coordinate the aging of accounts within the territory, ensuring accurate and timely financial management.
Uniform Training
  • Ensure all Office Administrators in the territory receive consistent and cross-training to meet company standards.
Shipment Management
  • Handle incoming and outgoing shipments, routing to the appropriate department and selecting the appropriate carrier.
Administrative Tasks
  • Perform tasks such as purchasing money orders, visiting the post office or bank as needed.
Filing and Miscellaneous Duties
  • Carry out filing and other duties as assigned.
Education and/or Experience
  • Education: High School diploma or GED; or 5 years of related experience and/or training; or an equivalent combination of education and experience.
  • Experience: Proven experience as an Office Administrator or in a similar administrative role is essential.

  • Office Management: Strong understanding of office management procedures and best practices.
  • Communication: Excellent communication, interpersonal, and presentation skills.
  • Adaptability: Ability to adapt training methods to various learning styles and skill levels.
  • Travel: Willingness to travel within the designated regions to conduct training sessions.
Licenses, Certifications

Valid driver license and insurance. Ideal candidate will be notary certified or be able to obtain certification as Notary Public
