Role Overview: As a Default Specialist at One App, you will be responsible for processing and reducing resident default claims, managing documentation, and supporting our risk mitigation efforts by improving financial recovery outcomes, and implementing early warning and prevention systems. You'll communicate with renters, property managers and leasing staff to ensure timely and accurate claim resolution while maintaining compliance with company policies.

Key ResponsibilitiesDefault Processing Administration
- Process 50+ default claims per month on average
- Review and analyze lease agreements, rental ledgers, income documents, and other rental related documentation
- Verify claim validity and calculate appropriate payment amounts
- Actively communicate with property managers to provide backing for default claims, adhering to One App’s policy
- Administer payables to property management companies after thorough documentation review
- Maintain detailed claim notes for all claims activities
Communication & Documentation
- Communicate effectively with property management staff regarding claim status and requirements
- Prepare clear reports and correspondence for internal stakeholders when necessary
- Provide regular updates on claim processing status
- Maintain accurate note documentation for all claim scenarios
- Renter Outreach
Compliance & Process Adherence
- Ensure all claims processing follows established procedures
- Maintain adherence to company policies and service level agreements
- Support process improvement initiatives as directed
- Participate in training and quality assurance activities
- Assist in developing and updating claims handling procedures and guidelines
Risk Support & Monitoring
- Support early intervention and process enhancements to help reduce claim payouts
- Assist with early identification of at-risk residents and properties
- Assist in implementing and managing an early warning system to flag at-risk residents within the first 60 days of occupancy
- Track and report basic performance metrics and assist with analyzing claim trends and patterns to identify potential issues
- Flag potential issues for escalation to management
- Support maintenance of monthly watch list of high-risk properties
- Monitor and resolve disputed charges within the Stripe system
Cross-Functional Support
- Work collaboratively across departments as needed
- Support monthly meetings focused on trends and prevention tactics
- Provide data and insights for performance reports
- Support development and implementation of operational processes
- Support monthly training sessions for property managers and internal sales staff on default processes
- 3+ years of experience in collections, risk management, property management, accounts payable, or a related field; experience with housing, resident screening, or financial recovery is a plus
- Strong analytical, problem-solving, and contract interpretation skills, with the ability to review financial documents and lease agreements
- Excellent written and verbal communication skills, with a professional demeanor and customer service orientation
- Highly organized and detail-oriented, with strong time management skills and the ability to manage multiple priorities independently
- Comfortable working in a fast-paced, mission-driven startup environment, with the ability to adapt and stay focused
- Proficient in Google Suite, with experience using tools like Asana and Hub Spot. Collaborative mindset, with the ability to work cross-functionally across departments
