Position Summary

The Medical Administrative Manager supports the Nurse Manager in hiring, scheduling, and supervising the 24/7 nursing and medical support staff. The role provides administrative support to medical leadership, coordinates community partnerships, and helps implement educational initiatives.

Job Responsibilities
  • Collaborate with the Nurse Manager on hiring, scheduling, performance reviews, and time‑card processing.
  • Coordinate celebrations for patients and staff in Withdrawal Management.
  • Share staffing and scheduling responsibilities with the Nurse Manager.
  • Ensure smooth 24/7 operations of the Withdrawal Management Unit with NOC Shift Supervisors.
  • Help develop nursing school educational partnerships and recruitment pathways.
  • Support medical leadership in scheduling meetings with community partners, building presentations and coordinating promotional events.
  • Attend periodic organizational leadership meetings.
  • Ensure safe, quality care through adherence to medical policies and procedures.
  • Maintain strong relationships with other Fora departments.
  • Provide administrative support for new program development.
Essential Job Functions
  • Model healthy communication and behavior through non‑violent communication and verbal de‑escalation.
  • Adhere to harm‑reduction principles.
  • Perform additional duties as assigned.
Professional and Ethical Responsibilities
  • Adhere to professional codes of ethics, federal and state laws, and agency policies.
  • Practice appropriate self‑care and maintain confidentiality, privacy, and security (HIPAA, 42 CFR Part 2).
  • Participate in ongoing supervision and consultation.
Supervisory Functions
  • Provide schedule and staff coverage for the withdrawal management program.
  • Ensure accurate and timely staff documentation.
  • Document supervisory issues and coordinate staff grievance resolution.
  • Support training programs for new staff and ensure completion of required trainings.
  • Oversee onboarding process for new medical staff and compliance training.
  • Provide leadership and guidance for residential and withdrawal management staff.
Qualifications

Education and Experience Required
  • Minimum of 3 years of management experience; must have experience with scheduling and direct supervision.
  • Experience in mental health & addiction settings helpful but not required.
  • Bachelor’s degree required.
Knowledge, Skills, and Abilities Required Proficient in Microsoft Office applications.
  • Excellent written and verbal communication.
  • Strong organizational skills and attention to detail.
  • Initiative and problem‑solving skills.
  • Self‑awareness and ability to use it effectively.
  • Other Requirements
    • For employees with a history of substance use disorder, a minimum of two years of sobriety is required.
    • Ability to pass pre‑employment drug and criminal background checks.
    • Some amount of regular phone connectivity to answer internal and external contacts.
    Working Conditions
    • Indoor office environment with periodic travel.
    • Shift assignments include days, evenings, nights, weekends, and holidays.
    • Potential exposure to communicable diseases, hazardous chemicals, and sharp equipment.
