Operations Support Specialist plays a crucial role in ensuring the smooth and efficient functioning of an organization's daily operations. This professional is responsible for providing administrative and logistical support, troubleshooting issues, and streamlining processes to enhance productivity. They facilitate communication, manage resources, and implement procedures that optimize operational workflows. Operations Support Specialists help drive continuous improvement and organizational success.

Principal Duties and Responsibilities:
  • Manage order processing
    • Serve as the administrative interface for distributors and major customers placing orders.
    • Answer and direct incoming calls and emails from clients and internal staff.
    • Monitor and manage daily operational workflows and processes.
    • Manage data entry and maintain accurate records within the company database.
    • Maintain and update CRM systems
      • Conduct regular audits of CRM systems to ensure accuracy.
    • Collaborate with internal teams and external partners to manage inventory, pricing, and delivery coordination.
    • Enter and reconcile data using Quick Books and Excel.
  • Order Processing
    • Enter customer orders accurately into Quick Books.
    • Confirm product availability and lead times.
    • Maintain organized digital and physical records.
  • Receiving, Shipping & Fulfillment
    • Receive incoming material.
    • Pick, pack, and prepare products for shipment.
    • Schedule pickups and coordinate with carriers.
    • Track shipments and communicate delivery updates to customers.
  • Cross-Team Support
    • Collaborate with production and sales teams to ensure timely fulfillment.
    • Assist with inventory tracking and reporting in Excel.
    • Provide friendly, responsive customer service when needed.
