Grants Administrator - Hours: 35 hours per week, 09:00 – 17:00 Monday to Friday
- Location: HMS Excellent, Whale Island, Portsmouth, PO2 8ER
with hybrid working - Salary: £23,500 - £26,500
We are currently looking for a Grants Administrator to join our Grants team, reporting to the Senior Grants Officer. You'll bring both passion and professionalism to the role and will be responsible for providing high-quality administrative support to the Grants team, ensuring the smooth delivery of grant programmes and excellent service to applicants, stakeholders and beneficiaries. You will act as a key point of contact for grant enquiries, maintain accurate grant records and systems, and support the effective administration of grants across the charity.
RoleResponsibilities
As our Grants Administrator you will be responsible for supporting the administration and delivery of RNRMC's grant‑making activity, providing first‑class customer service to applicants and stakeholders, maintaining accurate grant records, and ensuring grants processes run efficiently and effectively. You will work closely with the Senior Grants Officer and wider Grants team to support funding programmes that make a meaningful difference to Royal Navy and Royal Marines personnel, veterans and their families.
Responsibilities include but are not limited to:
- Acting as the first point of contact for grant applicants and prospective applicants, responding to enquiries by phone, email and in person.
- Managing and monitoring grant applications through the online grants portal and Grants Management System.
- Maintaining accurate records and ensuring high‑quality data capture to support reporting and decision‑making.
- Providing administrative support for grant workshops, events and stakeholder engagement activities.
- Supporting the administration of individual grants, including preparation of case files and grant documentation.
- Coordinating meetings, preparing papers, arranging hospitality and taking accurate minutes and records of decisions.
- Producing reports and supporting the creation of data, statistics and graphical information using Microsoft Excel and other Office 365 applications.
- Building and maintaining positive relationships with internal and external stakeholders, including funded organisations and beneficiaries.

Job RequirementsOur ideal candidate will have proven experience in an administrative role where accuracy, organisation and customer service are essential. They will be confident managing multiple priorities, maintaining detailed records and working with databases and Microsoft Office applications. Experience supporting meetings, taking minutes and handling sensitive or confidential information will be highly valued.
Whilst character is important to us, we do require a certain level of experience and qualification to succeed in this role. These are:
- Previous experience in an administrative or coordination role.
- Understanding of, or empathy with, the Armed Forces community and the aims of RNRMC.
- Knowledge of the charity sector and/or military sector (desirable).
