Intrinsic First is seeking an Operations Specialist to support the day-to-day business operations of a growing Department of Defense contracting company. This role plays a critical part in ensuring the company’s internal systems, processes, and administrative functions run smoothly so that project teams can focus on delivering high-quality services to our government customers.
The Operations Specialist will work across multiple functional areas, including business operations, finance coordination, human resources support, compliance administration, and general office operations. This role is ideal for someone who enjoys variety, takes ownership, and is comfortable working in a small, fast-moving organization.
Key Responsibilities Business & Operational Support- Support daily business operations by coordinating internal processes, schedules, and documentation
- Maintain organized records related to contracts, vendors, internal policies, and company operations
- Assist with process improvement efforts to streamline internal workflows and reduce administrative friction
- Support leadership with operational tracking, reporting, and follow-ups
- Assist with invoicing support, expense tracking, and financial documentation
- Coordinate with external accounting and payroll providers to ensure accurate and timely processing
- Track labor hours, leave, and related administrative data as needed
- Maintain organized financial and administrative records in accordance with company policies
- Support employee onboarding and offboarding activities, including documentation and system access
- Maintain personnel files and required employment documentation
- Assist with benefits administration support and employee communications
- Help coordinate training, certifications, and required documentation for employees and contractors
- Assist with maintaining required compliance documentation for government contracting
- Support internal audits, reviews, and reporting requirements as needed
- Help track contract-related administrative requirements, deadlines, and deliverables
- Coordinate document preparation and recordkeeping related to company policies and procedures
- Manage and maintain internal tools, shared drives, and collaboration platforms
- Assist with software subscriptions, licenses, and access management
- Provide general administrative and operational support to the team as needs arise
- Support coordination with external vendors and service providers
- 2+ years of experience in operations, administration, business support, or a related role
- Strong organizational skills with attention to detail
- Ability to manage multiple priorities and work independently
- Clear written and verbal communication skills
- Comfortable working with spreadsheets, documents, and business systems
- Ability to handle sensitive and confidential information with discretion
- U.S. citizenship (required for government contracting roles)
- Experience supporting a government contractor or regulated organization
- Familiarity with DoD or federal contracting environments
- Experience coordinating across finance, HR, or compliance functions
- Comfort working in a small business or startup-style environment
- Ability to improve processes and create structure where needed
- Internal operations run smoothly and predictably
- Documentation and records are organized, accurate, and easy to retrieve
- Employees and leaders receive timely operational support
- Administrative tasks are handled proactively rather than reactively
- Leadership can focus on mission delivery, knowing operations are well supported
