Medical Receptionist | Patient Care Coordinator Float
Retina Consultants San Diego is looking for an excellent candidate to join our team. The ideal applicant is motivated, empathetic, detail‑oriented, and works well with others.
Responsibilities- Maintains a respectful attitude toward patients, leadership, and peers.
- Coordinates appointments, schedules, reschedules, and cancels appointments using a computerized scheduling system.
- Works in collaboration with the Patient Care Coordinators.
- Schedules new patient appointments, registers any new patient, and mails new patient paperwork as needed.
- Performs demographic entry and insurance verification.
- Assists with all messaging from patients to physicians in a timely manner.
- Ensures provider schedule templates are followed and patients are scheduled accordingly.
- Monitors provider schedules to maintain a full schedule, monitoring at least 3 days out.
- Returns all voicemails left by patients on the Nextlevel voice phone portal, reassigns voicemail to correct departments.
- Oversees phone tree call volume by extension.
- Assists manager with training of new personnel.
- Answers calls promptly and addresses patient issues and concerns in a timely manner.
- Stays updated with Nextech reports as requested by practice providers.
- Runs reports such as no‑show, contact, on‑call, and recall reports.
- Mails out no‑show letters and return appointment postcards.
- Contacts patients who have canceled appointments via Promptly, ensures rescheduling if needed.
- Assists with answering multiline telephone lines.
- Completes a minimum of 40–50 patient calls per day to meet daily quota.
- Files and scans health‑related reports/information in appropriate sections of the EMR system.
- Coordinates the release of medical information, verifies authorization, records incoming requests, processes requests, and communicates with requestors.
- Assures all medical records/health information is protected, confidential, and compliant with HIPAA and other privacy regulations.
- Performs other duties as assigned.
- Participates in additional projects as needed.
- Experience working as a medical assistant or patient care coordinator.
- Strong skills in using electronic health records (Nextech).
- High school diploma or GED.
- Desire to provide kind and compassionate customer service.
- Strong work ethic, professionalism, attention to detail, communication skills, and ability to work as a team.
- Experience as a receptionist in an Ophthalmology and/or Retina practice.
- Fluency in Spanish and English.

This is a full‑time position with hours that may vary from 6:30 am–5 pm, Monday through Friday. The candidate must be willing and able to cover any of our five locations.
