Customer Liaison Representative (Link Facility)
LocationBAE Systems, Warton & Samlesbury
PurposeThis role provides high quality service to our customers by greeting, welcoming, and directing them appropriately. The Customer Liaison Representative is the first point of contact for clients and the face of the Link Facility, ensuring a safe and welcoming atmosphere.
Working Hours42 hours per week – Monday to Thursday 07:00 – 17:30, Friday 07:00 – 13:00. Shift patterns are determined by business needs.
Hourly Rate£13.45 per hour
Accountabilities and Key Activities- Meet and greet customers
- Manage the booking system and assist with Kiosk booking instructions
- Source availability of rooms and desks for customers and groups
- Respond to the shared email inbox and handle no‑show information
- Support special ergonomic and safety equipment requests
- Monitor office consumables and maintain signage using templates
- Conduct floor walks, keep the facility tidy, and manage dishwashers where installed
- Check printers, rooms, and desks in the morning and afternoon
- Control and report on special equipment such as Jabra, flip charts, and ergonomic chairs
- Report maintenance, IT, security, and AV issues to the appropriate teams
- Act as Fire Marshall and First Aid responder when required
- Support continuous improvement activities
- Conduct daily handover to security and issue temporary daily security passes
- Familiarise new visitors with building layout and operational areas
- Escalate booking conflicts and reallocate resources as instructed
- Control security access from the reception desk and escort visitors from the main gate when requested
- Reconfigure furniture and removable walls according to booking needs
- Arrange post‑collection, sign for delivery parcels, and support security audits
- Serve as the primary contact for all desk and room booking correspondence
- Support hospitality bookings, deliveries, and collection
- Advise on redistributing food across neighbouring outlets based on occupancy levels
- Maintain tea and coffee provisions and keep the area clean and tidy
- Proven teamwork and the ability to deliver positive outcomes and quality customer service.
- Organisational and time‑management skills to handle competing priorities and meet tight deadlines accurately.
- Knowledge of Workplace Health and Safety (WH&S) practices and policies.
- Excellent interpersonal and communication skills in written and spoken English.
- Basic computer proficiency; familiarity with Microsoft Office (Word, Excel).
- Ability to work independently when necessary.
- At least two years of training background or customer‑service experience preferred.
- Experience with desk‑booking systems is advantageous but not essential.
- Professional and presentable appearance; uniform kept clean and pressed.
- Hygienic standards maintained at a high level.
- Organised and capable of prioritising workloads in a fast‑paced environment.
- Personable and approachable demeanor.
- Flexible approach to changing circumstances.
- Willingness to undertake further training if required.
- Must be able to gain SC Clearance.
