Description
Purpose of the JobThe successful candidate will provide professional, efficient and confidential secretarial and administrative support to the Divisional Executive:
Corporate Services. The role includes managing the Executive’s diary, meetings, travel, documents, records, stakeholder engagements and office governance processes. The successful candidate will report directly to the Divisional Executive:
Corporate Services.
- Manage the Divisional Executive’s diary, appointments, meetings and access to the Executive’s Office.
- Coordinate meeting venues, agendas, supporting documents and meeting packs.
- Prepare accurate correspondence, reports, submissions and presentations.
- Maintain effective physical and electronic filing and records-management systems.
- Process financial, travel and related claims accurately and timeously.
- Arrange domestic and international travel, including flights, accommodation, transport, visas and foreign currency.
- Screen telephone calls, manage messages and respond to emails as instructed.
- Handle and redirect stakeholder complaints and enquiries within prescribed turnaround times.
- Maintain governance calendars, action registers, deadlines, approvals and compliance records.
- Check documents for completeness, correct approvals, version control and supporting information.
- Ensure that governance records and evidence are properly filed and available for audits or reviews.
- Coordinate events, seminars, special projects and other ad hoc activities.
- Liaise professionally with internal departments, regulated entities, government departments, consultants and service providers.

Requirements
A post Matric Certificate or Diploma in Administration, Office Administration or a related field. A Bachelor’s Degree in Administration will be advantageous A minimum of 2 to 3 years’ office management, personal assistant, executive secretarial or senior administrative experience. Advanced Microsoft Office skills. Excellent verbal and written communication skills. Strong planning, organising and time-management skills. Ability to work under pressure, manage competing priorities and meet deadlines.
Ability to maintain a high level of confidentiality. Strong attention to detail, interpersonal and customer service skills.
