What Your Day Will Look Like
As a Project Administrator, you will report to the PMO Manager and support Corporate Services initiatives by gathering information, research, tracking progress and supporting the equipment maintenance program. You will assist with document management, internal communications, and maintain compliance with regulatory and organizational standards.
Your role will also include assisting with content design for company newsletters, social media posts, and employee engagement activities. Additionally, you will help maintain tracking boards on digital platforms like and updating resource materials for Project Managers.
What You’ll be Responsible for
Your key responsibilities include but are not limited to:
Prepare and format templates, and presentations using PowerPoint, Word, and Excel.
Create and maintain project tracking boards on
Create newsletters, upload and maintain PMO SharePoint site.
Work closely with the PMO Project Coordinator on project tasks that support our field crews.
Assist with meeting invites, agendas and document preparation for project onboarding/kick offs.
Assist with conference bookings, logistics, booth set‑ups, travel arrangements for Ecofor delegates and our partners.
Provide support for new hires including Project Managers on how to use our tracking platforms, and Zone.
Assist with administration of the PMO, its Framework, procedures, and practices.
Assist with occasional administrative support for other departments (e.g., facilities/crew house set up or inspections, coverage, catering for meetings, delivering fleet vehicles, workshop preparation).
Promote a strong safety culture and work collaboratively within Ecofor’s corporate culture.
Maintain professionalism, accuracy, and attention to detail in all work.
Other duties may be assigned as needed to ensure the efficient operation of Ecofor.
What Will Help You Succeed:
Our ideal candidate has two to four years of experience in administration. You are organized, flexible, and able to adapt to changes. You work well on your own and with others, including government and Indigenous partners. Part of this role may require reaching out to gather information and situational awareness in your approach is key. You are comfortable using Microsoft Office and project management tools like
Strong organizational skills, with the ability to coordinate multiple projects simultaneously.
Be competent in computer software programs at a level where you are comfortable formatting, editing, creating documents with ease.
Be able to create excel spreadsheets, perform data analysis using raw data to make charts and graphs for presentations.
Excellent Communication skills (written and verbal) and interpersonal skills.
Flexibility and willingness to adapt and support project needs as directed.
Ability to work collaboratively with internal team members and provide support in interactions with external partners (e.g., government agencies, community groups, Indigenous representatives).
Proficient in Microsoft Office Suite (Excel, Outlook, SharePoint and Word) and project management software (e.g. ).
Ability to work independently with minimal supervision.
Ability to address challenges creatively and provide practical solutions.
Ability to prioritize tasks effectively.
