Summary

We are seeking an Operations Coordinator to join our team in Kamloops or Prince George. In this pivotal role, you will contribute to our mission by ensuring efficient operations and supporting our commitment to quality and safety in all projects.

Responsibilities
  • Assisting with planning and implementing all activities relating to crane work. You will be asked to assist in providing expertise and leadership, in relation to directing the work force to perform the preparation, transportation, operation and maintenance of company resources, to meet the needs of the business, within the confines of regional, federal and company policies and practices.
  • Responding to customer inquiries that come in via email, phone or web form and communicating them to the crane division manager, rigging supervisor, and for project related inquiries to the president or VP.
  • Completing Crane Request form for each customer inquiry
  • Assist with the preparation and distribution to customers of quotes.
  • Daily review of job status, prioritizing and highlighting issues as they arise with the Crane Operations Manager or Crane and Rigging Supervisor and project management.
  • Daily correspondence with Crane Operations Manager and rigging supervisor regarding jobs in progress and new opportunities, invoicing, and data gathering.
  • Maintain rotation schedule for personnel and equipment. Utilize the job board white board and excel spreadsheet or FCC (software).
  • Tracking of Crane and Operator Hours for Projects, including LOA, travel time, accommodations, and equipment; coordinating with clients/project owners as necessary.
  • Inputting Union hours into FDT Pro (BCIB Union) for BCIB Union Staff (When required).
  • Admin support for crane documentation. Maintain communication with insurance providers and permit center.
  • Reconciling operator and equipment hours in Fleet Cost and Care (FCC) Next Gen software
  • Preparing and sending dispatch notifications when scheduled to do so.
  • Monitoring calls and email responses related to dispatch when on call.
  • Working with crane charts and clients to build accurate crane lift plans.
  • Work with the maintenance group closely to plan downtime for repairs, maintenance, NDT, and CVI’s.
  • Monitoring and understanding seasonal load restrictions and how they affect the operations (email updates provided by MOTT once subscribed).
  • Administrative support for Prince George branch.
  • Communicate with PG team to manage resources accordingly between branches.
  • Follow up on estimates sent out.
Supplemental AR Duties
  • Invoice creation using FCC Next Gen
  • Setting up new clients in FCC Next Gen (sending out vendor applications etc.)

Required qualifications
  • High School Diploma or equivalent
  • Ability to work in a fast-paced environment with dynamic needs.
  • Possess project management skills relating to planning, coordinating, and scheduling along with knowledge of cranes and their operation.
  • Proficient in the use of a variety of software systems
  • Strong communication skills
  • Excellent organization skills
