The Administrative Assistant is responsible for overseeing clerical operations and supporting non-nursing administrative functions within the Home Medical Equipment department. This role works closely with department leadership, internal staff, external vendors, and contractors. The Administrative Assistant helps maintain departmental efficiency through strong organizational skills, precise record keeping, effective communication, and the ability to independently prioritize daily tasks.
Key Responsibilities Administrative & Clerical Support- Oversee daily clerical activities and provide administrative support across the unit.
- Serve as a key point of contact for internal and external staff, vendors, and contractors.
- Facilitate the flow of written and electronic correspondence.
- Perform secretarial duties such as screening telephone calls, typing, filing, and managing office communications.
- Maintain department manuals, files, and required documentation.
- Assist in preparing and monitoring departmental budgets.
- Process purchase orders and maintain tracking of departmental spending.
- Gather data for statistical reports and maintain relevant departmental metrics.
- Support nurse managers and department managers by understanding their general areas of responsibility.
- Attend department meetings and record minutes accurately.
- Assist with supervision and education of secretarial staff when required.
- Maintain appropriate department records and documentation.
- Ensure timely updates to manuals, procedures, and reference materials.
- Provide reliable and accurate information as needed to support unit operations.
- Act independently to prioritize tasks and manage workload effectively.
- Utilize strong communication and interpersonal skills to support a positive team environment.
- High school diploma required.
- Minimum one year of college or business school training in secretarial procedures preferred.
- 3-4 years of administrative or secretarial work experience required.
- Prior healthcare or hospital experience preferred.
- Familiarity with medical terminology is a plus.
- Excellent secretarial, administrative, and organizational skills.
- Strong communication and interpersonal abilities.
- Able to manage multiple tasks with high attention to detail.
- Proficiency in standard office software and equipment.
- Professionalism, discretion, and ability to maintain confidentiality.
- Ability to act independently and prioritize workload.
