Overview
On-Site Coordinator, Off-Campus Programs at Brown University. This position supports Brown's Pre-College and Undergraduate Programs by coordinating experiential learning experiences for high school students in on-site settings. The role involves living and working alongside students, coordinating logistics, and ensuring a safe, inclusive, and engaging environment during program sessions. The position is seasonal, requires on-site presence for the duration of the program, and reports to the On-Site Director and program leadership for BEE or BELL programs.
PrimaryResponsibilities
- Pre-Program Planning (Remote):
Review program delivery guides for BEE and BELL; participate in all-staff video conferences; maintain ongoing email communication for program planning; submit program supplies; assist with arrival/departure preparation; review and provide feedback on the program schedule; review medical, dietary, and learning accommodations; attend trainings (anaphylaxis/Epi Pen, first aid if required); verify logistics (transportation, tickets) in program documents; coordinate with Finance on spending;
perform other duties as assigned. - On-Site Staff Training and Program Preparation:
Arrive five days before program start and depart no earlier than one day after the program ends; plan activities to promote community, wellness, and academic success; learn site-specific risks and communicate mitigation strategies; review arrival logistics and staff schedules; help prepare living and community spaces for student arrival. - Program Operations:
Accompany staff and students on field trips; serve as main contact for local partners, vendors, and guest speakers; manage on-site program and staff expenses, receipts, and reconciliation; obtain approvals for unexpected expenses; facilitate activities that promote community and academic success; attend daily staff meetings; model inclusive behavior; follow emergency protocols and report incidents; support student conduct management; submit incident reports within 24 hours;
confirm departure itineraries and staffing plans; execute day-to-day program operations with the On-Site Director. - Post-Program Wrap Up and Debrief:
Submit detailed financial reports with receipts within one week after program end; participate in staff debrief; plan staff wrap-up activities and events for BELL programs; complete anonymous debrief documentation; return program supplies; attend post-program meeting with Finance to reconcile expenses.
- Graduate degree or equivalent education/experience; pre-departure staff meetings start in the spring (TBD based on staff availability).
- Ability to work collaboratively with a diverse staff and student body; demonstrate cultural competence and inclusiveness related to academic, socioeconomic, cultural, racial/ethnic, ability, gender, sexuality, and intersectional identities.
- Experience with program implementation and teamwork preferred; crisis response and crisis management experience preferred.
- Strong organizational skills; fluency in the language spoken on site (e.g., Spanish, if applicable); passion for educating and mentoring high school students; adaptability to schedule changes; ability to maintain confidentiality; ability to commit to employment for the entire duration with no conflicting obligations unless approved; background check and education requirements required.
- Compensation contingent on program length (e.g., $2,310 for a one-week program; $3,465 for a two-week program).
- Round-trip travel and travel expense reimbursement where applicable;
Brown University Travel Safe and International SOS coverage; possible health insurance for BELL if requested. - Housing at affiliate site; meal plan provided (not included in compensation); on-site housing arrangements; smartphone for work use.
- For Rhode Island-based programs: free on-campus parking, free RIPTA ridership, and Brown University Nelson Fitness Center membership for the duration of employment.
The On-Site Coordinator position is at-will;
Brown University may discontinue employment at any time and for any reason prior to program conclusion. Termination may affect sponsor ships and housing. A prorated stipend will be provided if terminated early.
