Description:
The Journal Indexing Manager / Journal Indexing Specialist is responsible for planning, executing, and managing the complete indexing lifecycle of scholarly journals. The role focuses on obtaining journal registrations, ensuring compliance with international publishing standards, developing indexing strategies, preparing and submitting indexing applications, maintaining accurate scholarly metadata, and collaborating with editorial, production, research integrity, and technical teams to improve journal visibility and discoverability.
The successful candidate will possess comprehensive knowledge of scholarly publishing, journal evaluation criteria, bibliographic databases, metadata standards, publication ethics, and research integrity. This role plays a critical role in achieving and maintaining journal inclusion in major international indexing databases, including Scopus, Web of Science, DOAJ, Pub Med, and other leading indexing services.
Key Responsibilities:
Coordinate ISSN registration and other journal registrations and ensure compliance with applicable requirements.
Develop and implement strategic indexing roadmaps and application timelines for all journals.
Assess journal readiness and prepare, submit, and monitor applications to leading indexing and abstracting services, including Scopus, Web of Science, DOAJ, Pub Med, Crossref, Dimensions, EBSCO, Pro Quest, J-Gate, Open Alex, Scilit, and other relevant databases.
Ensure journals comply with international publishing standards, publication ethics, editorial best practices, and indexing selection criteria.
Collaborate with editorial and research integrity teams to ensure journals adhere to ethical publishing practices and international research integrity standards.
Review and maintain accurate journal and article metadata, including DOI, XML, ORCID, funding information, references, and Crossref deposits.
Ensure journal websites comply with indexing requirements by maintaining accurate editorial information, publication policies, licensing, archiving, metadata, and technical standards.
Serve as the primary point of contact for indexing agencies and coordinate with Editors-in-Chief, editorial boards, production, IT, and research integrity teams throughout the indexing process.
Track indexing applications, approvals, renewals, and evaluation outcomes, and maintain comprehensive records and documentation.
Prepare periodic reports on indexing progress, journal visibility, citation performance, and compliance status for management.
Monitor journal performance using bibliometric indicators, including Cite Score, Journal Impact Factor (JIF), SCImago Journal Rank (SJR), SNIP, quartile rankings (Q1–Q4), and citation analysis. Analyze citation trends and recommend strategies to improve journal visibility, citation impact, and overall research performance.
Coordinate journal integration with digital preservation and archiving services such as CLOCKSS, Portico, and other recognized preservation platforms to ensure long-term accessibility and preservation of published content.
Stay updated on developments in scholarly publishing, metadata standards, research integrity, and indexing policies, and implement continuous improvements to enhance journal quality and eligibility.
Support the strategic development of journals to achieve and maintain inclusion in prestigious indexing databases, including Scopus, Web of Science, DOAJ, and Pub Med.
Maintain indexing workflows, documentation, application schedules, and internal tracking systems to ensure timely submissions and follow-up.
Qualifications:
Master's degree in any discipline.
Prior experience in scholarly publishing, academic journal management, journal indexing, or a related field.
Strong knowledge of scholarly publishing workflows, research integrity, publication ethics, and international indexing standards.
Knowledge of Creative Commons licensing and Open Access publishing models is preferred.
Familiarity with the indexing requirements and evaluation criteria of Scopus, Web of Science, DOAJ, Pub Med, Crossref, and other major indexing and abstracting services.
Working knowledge of DOI registration, XML metadata, ORCID, Crossref deposits, OAI-PMH, and scholarly metadata standards.
Understanding of bibliometric indicators, including Cite Score, Journal Impact Factor (JIF), SCImago Journal Rank (SJR), SNIP, quartile rankings (Q1–Q4), and citation analysis.
Excellent analytical, organizational, project management, and communication skills, with the ability to manage multiple journals and stakeholders effectively.
Proficiency in Microsoft Office applications and spreadsheet-based tracking systems.
Excellent written and verbal English communication skills.
