Overview

Volunteer Session Coordinator role at Prison Book Program (PBP). PBP supports people in prison by providing free, high-quality reading materials that match their needs and interests. This is an engaging volunteer opportunity that connects people inside and outside the American prison system. In 2024, Prison Book Program sent nearly 70,000 books to 19,875 people housed at over 1,000 correctional facilities in all 50 states.

We are seeking a part-time professional to join our current staff of two, with a desired start date of 10/15/2025 and a starting hourly wage of $25/hr prison Book Program is committed to diversity, equity, and inclusion. This is a half-time, hourly position (20 hours/week). The person occupying this position will work a mix of fixed, in-person hours at our program location in Quincy Center and remote/flex hours. The Volunteer Session Coordinator will work alongside PBP’s Program Coordinator and report to PBP’s Executive Director. The occupant of this position will not be eligible for employer-sponsored benefits.

Responsibilities
  • Volunteer and session management:
    Serve as lead facilitator or co-facilitator for a minimum of two volunteer sessions each week, from set up to closing.
  • Manage sign-in, attendance, and service hour verifications.
  • Task and train new volunteers or delegate to a team captain or experienced volunteer.
  • Ensure that all steps in PBP’s fulfillment process are kept in sync and that volunteers are equipped to complete each step correctly.
  • Facilitate mid-session informational break period.
  • Document sessions by submitting reports.
  • Schedule groups for both private sessions and for designated slots at PBP’s regularly scheduled sessions.
  • Maintain positive relationships with all PBP volunteers.
  • Inventory support:
    Monitor and report on inventory of books, scannables, and program supplies. Move book deliveries into off-site storage unit and transport books to PBP from off-site storage when needed.
  • Create supplies (nametags, laminated cards/tags, mailing labels) and/or order needed supplies.
  • Keep program and storage spaces neat and organized.
  • Program support:
    Field email inquiries from several organizational accounts and monitor organization’s voicemails. Resolve directly or by forwarding to an appropriate recipient.
  • Ensure that all book requests remain appropriately batched and organized, and that any requests that temporarily depart from the main queue (special requests and other special-handling categories) are eventually and timely returned to it.
  • Assist in processing incoming mail and transporting outgoing mail.
  • Special projects and other duties as assigned.
Required qualifications
  • Experience managing large and diverse groups of people
  • Experience managing multiple processes and communication platforms and providing clear and timely responses to inquiries
  • Highly organized and detail-oriented
  • Experience working independently, or with remote and/or light supervision
  • Proficiency with or ability to learn the tech platforms used at PBP (Salesforce, Office 365, all Google applications, Zoom, Wordpress, Jotform)
  • Friendly, outgoing personality and a commitment to to creating an inclusive, welcoming volunteer environment
  • Ability to lift and move objects weighing up to 40 pounds, walk up and down stairs frequently, and be on your feet and moving for 3-4 hours straight
  • Possession of a valid driver s license and access to and willingness to use a vehicle for work purposes
  • Flexibility and good humor in the face of the challenges that arise from working in the basement of a 197 year old historic building
