Position Overview
The Department of Computer Science, a large and complex unit in the College of Engineering at NC State University, is seeking a highly organized and engaging individual to serve as our Department Administrative Support Contact. As the face of our department, you will be the primary point of contact for faculty, staff, students, and external visitors, ensuring a welcoming tone and efficient daily operations.
Responsibilities- Front-Line Ambassador: Warmly welcome and provide proactive, positive assistance to all faculty, staff, students, and visitors.
- Communication Gateway: Manage all incoming calls, messages, mail, and deliveries, ensuring timely and appropriate response and maintaining a pickup log.
- Meeting Support: Attend monthly faculty/staff meetings to meticulously record notes, prepare them for the Department Head, and distribute to faculty.
- Correspondence: Assist with various typing and word processing projects, including accreditation materials and general correspondence.
- Textbook Liaison: Coordinate textbook requests and schedule input into the bookstore database.
- Room Scheduling Expert: Reserve conference rooms in EBII and coordinate with Registration and Records for additional buildings.
- Graduation Preparation: Compile information from departmental programs to prepare graduation brochures for Fall and Spring ceremonies.
- Supply Management: Maintain essential departmental supplies, manage inventory, and place orders through the Marketplace.
- Equipment Readiness: Ensure copiers and printers are consistently stocked, troubleshoot paper jams, and call for service when required.
- Faculty Support: Produce necessary copies for faculty on short notice.
- Facilities Contact: Report and handle maintenance, heating, and cooling repairs when the building liaison is absent.
- General Duties: Handle additional duties as assigned to support the department’s mission.
- Minimum Experience:
High School Diploma or equivalency; or demonstrated competencies to perform the work. - Technical Proficiency:
Proficient use of Microsoft Excel and Word. - Organizational Mastery:
Excellent time management and proven ability to multitask effectively in a fast-paced environment. - Communication:
Exceptional verbal and written communication skills with the ability to interact effectively with individuals from diverse backgrounds. - Preferred Experience:
3‑5 years of administrative experience.
