Administrative Assistant — Office & Marketing
SSN Corporation is seeking a motivated Administrative Assistant in its office in Raleigh to perform a range of administrative and office support activities to create and maintain a pleasant work environment, ensuring organizational effectiveness, communication, and safety. The candidate should be able to ensure the smooth running of the day-to-day office tasks, as well as contribute to and assist with basic marketing needs.
Responsibilities- Act as the initial point of contact for internal and external communications (phone, email, mail, deliveries); sort, prioritize, and direct as appropriate.
- Maintain and manage the office calendar, schedule appointments and meetings, track staff PTO, and communicate key dates and changes.
- Ensure the smooth day-to-day running of the office, including supplies, equipment, repairs, errands, and layout organization.
- Coordinate with vendors and building maintenance (e.g., cleaning, security, service providers); handle contracts and price negotiations.
- Oversee the general and administrative office budget; ensure timely and accurate financial reporting.
- Serve as a resource for staff regarding office-related issues (e.g., travel, supplies, workspace, equipment).
- Assist in the creation and distribution of marketing materials, newsletters, presentations, and digital content.
- Help manage and monitor company social media accounts and contribute to the online marketing strategy.
- Handle sensitive information with discretion and ensure adherence to company policies and procedures.
- Provide general support across departments, including document management, calendar coordination, and internal communication facilitation.
- Knowledge of office administrator responsibilities, procedures, and systems
- Highly proficient in Microsoft applications and Bluebeam applications
- Exceptionally detail-oriented, organized, and focused on quality results
- Experience with social media platforms, such as Linked In
- Excellent verbal and written communication skills
- Basic understanding of marketing principles and strategies
- Excellent time management skills, self-motivation, and ability to prioritize work
- Hands on experience with office machines (e.g. printer, copiers, postage machines)
- Demonstrates ability to take initiative, anticipate needs and multi-task
- High school diploma/GED required
- Possess a valid driver’s license required
- 2 years of experience in office administration duties preferred
- Previous experience related to construction and Engineering industry preferred
- Must be able to work in an indoor office environment and an active outdoor construction site environment.
- Must be able to ascend and descend ladders, stairs, and work in confined spaces and in proximity to loud equipment.
- Must be able to traverse irregular and steep terrain.
- Must be able to work in various weather conditions and be exposed to dirt or dust.
- Must be able to wear required personal protective equipment most of the day.
- Must be able to work for long periods of time in front of a computer or while standing.
