Program Supervisor - Data & Support (Administrative)

Child Action is a private, non‑profit corporation created in 1976 to promote the education and social welfare of children and families and to advocate on their behalf. Our programs include resource and referral services for families seeking child care, child care subsidies for qualifying families, recruitment and professional development of the child care workforce, and family education and support.

We are seeking individuals who are highly organized, have the ability to multi‑task, provide excellent customer service, have good problem‑solving skills and have the ability to understand the problems and issues facing families from a variety of ethnic and economic communities.

Position Purpose & Scope

Under the general supervision of the Associate Program Manager, the Program Supervisor – Data & Support position is responsible for daily operations of an assigned unit, supervision of staff, and review of work products, services, and systems for all units of the department. The Program Supervisor – Data & Support is responsible for knowing all guidelines, regulations and policies developed or set forth by the Board of Directors and the department Director.

  • Monitors the daily operations of assigned unit
  • Reviews staff work for completeness, accuracy, and compliance
  • Recognizes error patterns and provides feedback
  • Trains and provides technical assistance to assigned staff
  • Applies knowledge of regulations effectively
  • Works collaboratively with other supervisors/managers on issues
Staff Management Duties
  • Supervises assigned staff
  • Provides ongoing training to assigned staff
  • Reviews and approves time‑off requests
  • Reassigns work during employee absence
  • Conducts annual performance evaluations
  • Ensures compliance with all agency safety practices, ergonomics and work rules
  • Knows policies in the Employee Handbook to address employee issues; works with management to resolve any issues
  • Conducts staff meetings, establishes agendas and training topics; assists with writing training materials
  • Interviews and selects staff
  • Attends supervisor meetings and training sessions
  • Meets with staff regularly to explain and implement new policies or changes
Agency Contribution Duties
  • Participate as a contributing member of Child Action team
  • Integrate strengths‑based strategies into services provided to parents and childcare providers
  • Works collaboratively with other supervisors to support goals and projects of the agency
  • Participates in assessment, planning and development of program services
  • Documents and tracks participant activity for program reports and services planning
  • Works with other Child Action units to resolve problems, analyze, review and approve files, follow up on discrepancies, locate files, and email communication daily to units
  • May open and close the office to comply with safety and security guidelines
  • May serve on committees or be assigned to special projects
  • Attends professional development meetings, communities of practice, and conferences
  • Prepares and maintains records and reports for assigned area
  • Performs other duties as assigned; other duties may vary depending on the assignment
Duties when assigned to the Data and Support Unit (Community Engagement)
  • Prepares reports and documentation for funders
  • Coordinates and evaluates systems of program services
  • Collaborates as part of the administrative team to assess, plan for and develop services for all Community Engagement projects
  • Assists in developing, reviewing, and editing written material including training curriculum, articles, resource materials, reports, public communications and marketing materials
  • Coordinates with vendors for delivery of security and translation services
  • Collaborates with Information Technology (IT) to design or enhance internal databases and reports features
  • Oversees stipend payment process
  • Presents and explains program information to outside agency representatives, community members and clients
  • Processes and reviews all supply orders, analyzes funding and justification, and packages orders for processing
  • Presents Child Action services at public meetings, and participates in county planning discussions to develop childcare services
  • Presents to the community and answers community questions to clarify Child Action programs, services and local and state childcare infrastructure
  • Provides resources and statistical reports to government agencies
