Job Purpose: The Documentation & Compliance Coordinator will report to the Director of Process & Procedure, Systems and Compliance. The Documentation & Compliance Coordinator creates, organizes, and maintains the company’s documents. This can include documents related to policies, procedures, processes, and regulatory requirements. They ensure that documents are accurate and up-to-date and comply with internal standards and external regulations.

Essential Job Functions:
  • Writing skills – articulate information correctly and precisely by using proper grammar, formatting, style, and punctuation. Prepare documents that are easily understood by other employees.
  • Organization – effective organization and time management to successfully administer and maintain large portions of documents, prioritize tasks, meet deadlines, and ensure the timely delivery and submission of various documents.
Key Responsibilities:
  • Document Management:
    Develop, implement, and maintain our documentation management system to ensure that all documents are organized, accessible, and up to date.
  • Documentation Creation:
    Draft, review, and edit various types of documents including procedures, policies, reports, trainings, and manuals to ensure accuracy and clarity.
  • Compliance:
    Ensure all documentation meets industry standards, assist in audits and compliance reviews related to documentation.
  • Process Improvement:
    Identify opportunities to improve documentation processes and systems, implement changes to enhance efficiency and effectiveness.
  • Collaboration:

    Work closely with different departments to gather information, clarify requirements, and provide support in document-related matters.
  • Training:
    Provide training and support to staff on documentation practices and tools.
  • Version Control:
    Manage version control for documents to ensure the latest versions are used and historical versions are archived appropriately.
  • Reporting:
    Generate reports related to documentation status, compliance, and process improvements as required.

The Documentation & Compliance Coordinator will oversee the company’s overall documentation processes under the management of the Director of Process & Procedure, Systems and Compliance. The job will include writing, editing, and formatting documents, reviewing the company’s regulations to ensure documents meet relevant needs.

Experience/

Education:
  • Education:

    Bachelor's degree in business administration preferred.
  • Experience:

    Minimum of 5 years of experience in documentation management or a similar role.

Pay Range: $24/hr to $26/hr
