The Service Coordinator delivers a high level of customer service to both internal teams and external customers. This role is responsible for converting incoming service requests into efficiently scheduled service calls by gathering complete customer information and coordinating the appropriate technician. The Service Coordinator prioritizes, organizes, and routes incoming calls to ensure timely response and alignment with customer needs.
This position plays a key role in managing the Service Board and Dispatch Portal, maintaining accurate, up-to-date scheduling and service information at all times.
Daily responsibilities:- Responsible for triaging and scheduling all incoming service requests, creating and updating ticket content as required and communicating service information/expectations timely to both the customer and Service Technician.
- Supports Service Technicians in the field, communicates with them closely to ensure customer and ticket information is updated and completed accurately and assists Technicians with any parts research or ordering.
- Ensures that the most applicable Service Technician is assigned to the Service Ticket according to customer request and availability.
- Works a Service Board and Dispatch Portal assigning service calls and meeting ticket monitoring and updating in accordance with Service Department guidelines and expectations.
- Works closely with all key personnel involved in any billing/collection efforts. Is a supporting role to ensure timely and professional communication is made/received, supports any documentation requests or correction needs, logs any action/communication into the company CRM via configurations.
- Reviews and approves timesheets and expenses for assigned team members, ensures time is entered accordingly and accurately meeting all identified payroll approval deadlines.
- 3+ years in an Administrative support role
- 2+ years in Service dispatching
- High school diploma (or equivalent)
- Punctuality and regular attendance
- Ability to drive, walk, bend, stoop, hear, and speak, daily
- Ability to make repetitive movements (motions) of the wrists, hands, and/or fingers, daily
- Stand or Sit for long periods (4+ hours), daily
- Move/Transport items weighing 20 pounds, occasionally.
