Job OverviewThe Portfolio Manager (“Manager”) oversees a portfolio of Commercial Property Owner Association accounts in the assigned territories to ensure business is executed in a timely and accurate manner, in accordance with Association governing documents, Board policies, Mar West policies and procedures, Civil Code and other applicable regulations. A successful Manager is self‑accountable, well‑organized, ethical, professional, proactive, and takes pride in the appearance of the property while building relationships with boards of directors, owners, and tenants.
The Manager creates strong client relationships and is responsible for understanding and meeting client expectations. Manager remains service‑oriented, managing and executing daily tasks promptly and is accessible and accountable. Manager receives support from Accounting Staff, Regional Leaders, IT, HR and Senior Leadership.
Base pay range: $75,000.00/yr - $80,000.00/yr. Salary will be commensurate with experience, education, history, and specific job responsibilities.
Job Responsibilities- Ensure understanding and compliance with all property governing documents.
- Gain working knowledge of Mar West systems and assimilate standard operating policies.
- Inspect landscape and common amenities, and execute repairs and maintenance as needed.
- Respond timely to owner/tenant maintenance or compliance requests and architectural change approvals.
- Gather detailed bids for major non‑recurring projects and requested changes in recurring vendor contracts.
- Maintain strong written communication skills—professional emails, memos, and letters.
- Oversee capital improvement projects per Board direction and company policy.
- Monitor association financial position; present financials, budgets to Board and clients.
- Create and manage budgets approved by the Board of Directors.
- Assess and monitor property needs; identify opportunities for improved communication or service delivery.
- Run client‑facing meetings professionally and confidently.
- Have reliable transportation and ability to drive to various associations.
- Other duties as assigned.
- Strong written and verbal communication skills.
- An active listener who anticipates issues and seeks mutually satisfactory resolutions.
- Working knowledge of Microsoft Office (Word, Excel, Teams).
- Efficient computer usage across multiple programs.
- Service‑oriented mindset with multitasking, flexibility, and resilience.
- Confidence in presenting to board members and owners.
- Conflict resolution and work under pressure.
- Minimum 2 years experience as a commercial property manager or association manager.
- California Real Estate License a plus.
- Bachelor’s degree preferred.
- Lifting up to 25 lbs.; sit, stand, and walk for extended periods.
- Communicate via phone and in person to resolve issues.
- Typing and keyboard use required.
- Mobility for office and property tasks, including uneven areas.
- Regular hours plus evenings, holidays, and some weekends as needed.
- Valid Driver’s License and State‑mandated vehicle insurance.
- Standard office equipment.
- Drive to various portfolio locations; headquarters in Irvine with occasional company events.
