Special Events Coordinator - F/T (33340)
Job Description Summary
Assist the Special Events Management in the creation, development, implementation and execution of all promotions, special events, and exhibitions for the property and outside venues. Provide additional support as needed to the Marketing management team.
Essential Duties and Responsibilities
- Assist the Special Events Management team in creating and maintaining a special events calendar to ensure revenue objectives are met and promotions/events are prepared in a timely manner.
- Work with Casino Marketing team to create new special events and follow up with the execution of events.
- Be comfortable in large‑group settings and able to MC promotions/events.
- Provide support in reception, filing, reporting and tracking for all aspects of special events.
- Assist in preparing, obtaining approval signatures, and submitting to ACGC.
- Prepare all paperwork distributed to other departments to inform them of upcoming events and promotions and what is needed from their department.
- Coordinate all paperwork for promotional events, including but not limited to winners logs and release forms.
- Monitor and execute promotions and events for compliance with approved submissions; provide feedback on execution and guest satisfaction.
- Arrange and order all necessary promotional materials such as decorations and gifts for events and promotions.
- Work closely with support departments involved with event execution (EVS, Engineering, IT, Food & Beverage, Slot Department, Table Games Department, etc.).
- Support the overall Agua Caliente Casinos management team.
- Maintain timely procedures for tracking and executing all invoices and bills related to special events and off‑property events.
- Provide excellent guest service and be willing to work nights, weekends, and holidays as required.
- Comply with all applicable Tribal regulations, internal controls and policies; document and report any exceptions immediately.
- No supervisory responsibilities.
Qualifications
- High school diploma or G.E.D.
- Minimum 1 year of Event Management and/or Promotional experience and/or training; or combination of education and experience.
- Excellent organizational and communication skills with ability to work across departments.
- Outstanding customer relations skills and innovative thinking for development of promotions and events.
- Proficient in English (Spanish a plus).
- Proficient in Microsoft applications including Excel, Word and Outlook.
Must have excellent grammatical skills. Work conditions and physical demands include standing, walking up to 1 mile, climbing stairs, lifting up to 25 lbs. Reasonable accommodations may be made for disabilities.
