About Your TeamYou will work closely with production, design, and QA/QC teams to ensure that all documentation is properly controlled, accessible, and aligned with both project standards and internal procedures. You’ll support internal audits, maintain filing systems, and help ensure the seamless flow of information that drives successful project execution.
Your RoleAs a Document Controller, you will be responsible for:
- Receive, register and track incoming and outgoing documentation
- Maintain document registers, logs and tracking records
- Distribute approved documentation to relevant departments and teams
- Maintain structured digital and physical filing systems to ensure documents are easily retrievable
- Ensure superseded documents are removed from circulation and correctly archived
- Support departments in locating and retrieving approved documentation
- Assist in maintaining document revision records and version control
- Prepare document control logs and reports as required by management
- Support internal and external audits by providing requested documentation
- Maintain confidentiality of company documentation and sensitive information
- Apply specific skills and knowledge to deliver high-quality outputs, while supporting peers and collaborating with the wider team
- Apply Environmental, Social, and Governance (ESG) standards in day-to-day work, ensuring sustainable and ethical practices are upheld
- Contribute to continuous improvement and innovation by suggesting and applying enhancements to processes, ensuring greater efficiency, accuracy, and compliance.
- Apply technical expertise and discipline-specific knowledge to deliver high-quality outcomes within your area of specialisation.
- Undertake any other reasonable duties and/or responsibilities as required by management, to meet the needs of the business.
Minimum 5 years in a document control role in construction environment, preferably 2 years in QA/QC department.
Knowledge & Skills- Strong organisational & document management skills
- High level of accuracy & attention to detail
- Ability to maintain structured records & filing systems
- Ability to manage multiple administrative tasks simultaneously
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
- Proficient in Aconex Document Management System, with experience in managing project documentation, workflows, transmittals, RFIs, submittals, correspondence, revision control, reporting, and document tracking throughout the project lifecycle.
- Excellent written & verbal communication skills.
- Familiarity with document control procedures
- Experience working within operational or administrative environments
- Basic understanding of structured documentation systems.
