About the RoleSunreef Yachts is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide direct support to the Head of Creative. This is a high‑trust executive support role focused on organization, project coordination, administration, communication, and operational excellence—not graphic design or content creation.
As the direct assistant and right hand to the Head of Creative, you will be responsible for managing executive priorities, coordinating projects, organizing workflows, maintaining , scheduling meetings, preparing presentations, and ensuring the Creative Department operates efficiently.

This role offers the opportunity to work closely with senior leadership at one of the world’s leading luxury yacht manufacturers while gaining exposure to global branding, marketing, product launches, events, and business operations.
Key Responsibilities- Serve as the primary Executive Assistant and trusted right hand to the Head of Creative; manage calendars, meetings, appointments, travel arrangements, and daily priorities; coordinate schedules and ensure executive priorities remain organized; prepare meeting agendas, take meeting notes, track action items, and follow through until completion; handle correspondence and professional communications on behalf of the Head of Creative; assist with confidential business matters while maintaining complete discretion;
anticipate needs, identify potential issues, and proactively solve problems before they arise. - Coordinate departmental projects from initial briefing through completion; own and maintain project workflows within ; create and manage project boards, timelines, task assignments, and project trackers; monitor project progress and proactively follow up with internal teams to ensure deadlines are met; liaise with internal departments, external vendors, agencies, freelancers, and business partners; maintain accurate documentation, project files, and departmental records; ensure projects remain organized, on schedule, and properly communicated across teams.
- Organize digital files, presentations, reports, and internal documentation; coordinate travel arrangements, meetings, workshops, photoshoots, and department logistics; assist with vendor coordination and operational administration; support departmental planning and improve internal workflows and processes; manage special projects and administrative requests on behalf of the Head of Creative; maintain high standards of organization across all departmental activities.
- Prepare presentations, executive reports, meeting materials, and briefing documents; coordinate stakeholder communications and meeting logistics; ensure timely follow‑up with departments and project owners; help maintain clear communication across creative, marketing, sales, production, and executive leadership teams.
- 2–5 years of experience as an Executive Assistant, Project Coordinator, Operations Coordinator, Administrative Coordinator, or in a similar support role.
- Exceptional organizational and time‑management skills.
- Strong written and verbal communication abilities.
- High attention to detail with excellent follow‑through.
- Ability to manage multiple priorities in a fast‑paced environment.
- Strong problem‑solving skills with a proactive mindset.
- Experience using or similar project‑management software.
- Proficiency with Google Workspace, Microsoft Office, PowerPoint, Keynote, Canva, or similar productivity tools.
- Professionalism, discretion, and the ability to handle confidential information.
- Experience supporting senior executives is highly preferred.
- Experience with in luxury, hospitality, marketing, creative, or agency environments is advantageous but not required.
- The Head of Creative is able to focus on leadership, creative direction, strategy, and business growth.
