Job OverviewTo provide a comprehensive personal assistant service to designated directors ensuring that they receive the support needed to facilitate the performance of their role.
Personal Assistant Responsibilities- Provide a full personal assistant service to directors.
- Act as first point of contact for directors' visitors and telephone callers, providing information, advice and guidance.
- Ensure directors are fully briefed on issues, determine priorities, and obtain necessary information for decision‑making.
- Manage directors' diaries, deciding appointments based on priority and workload.
- Type and format correspondence, reports and presentations from dictation or drafts prepared by the director; design and create within agreed parameters.
- Prepare agendas, take and transcribe minutes of specified trust committees.
- Develop a network of key relationships within and outside the Trust to facilitate directors’ responsibilities and reputation.
- Communicate and correspond on behalf of the director with senior managers, clinicians, external organisations and members of the public on difficult, sensitive and complex issues.
- Implement, operate and maintain secure systems for organisation, control and access to directors' electronic and paper information resources.
- Develop and maintain monitoring systems for required information and reports, ensuring timely provision.
- Coordinate and/or expedite arrangements for managing formal patient and non‑patient complaints, employee grievances and disciplinary meetings, communicating as required.
- Provide secretarial support during absences or peak workloads.
- Work closely with and support other members of the personal assistant team.
- Contribute to reviews of departmental administrative systems and processes, proposing changes and improvements.
- Support all members of the personal assistant team to ensure effective operation.

Person SpecificationEssential Criteria
- Good general education level or equivalent knowledge and skills gained through any combination of study, employment or voluntary work.
- In‑depth experience of working as a senior secretary or personal assistant for a manager/clinician operating at a senior level within an organisation.
