The post holder will be responsible for delivering an effective and efficient support service in the Paediatrics department. To assist in the provision of quality patient care. This will include comprehensive clerical and administrative duties, along with receptionist responsibility to Paediatrics Outpatients.
The post holder is the first line of contact with families and professionals, and will provide assistance and reassurance to distressed or anxious patients/visitor. To co-ordinate and ensure the smooth registration of patients attending Outpatient Clinics. To assist in the preparation of the administration paperwork. Act as a multi-skilled worker within Urgent Care and adapting to the competing demands of the service.
Mainduties of the job
- Welcoming patients into the department as the first point of call for patients attending the Children's Clinic.
- Work closely with the wider CAT and clinical team.
- Use GPAS and EPR to check in patients and update records as required.
- Monitor patients arriving on patient transport and make changes where required.
- Any discrepancy in the patient's appointment must be amended and the patient informed of any changes e.g. transport patients.
- All documents required for the Outpatient clinics are complete and available for the start of the clinics and take appropriate remedial action if not.
- Greet patients in a courteous and appropriate manner.
- To notify nursing staff of any appointment changes.
- Book DNA appointments and arranging appointments where applicable for patients before they leave the department.
The ideal candidate should be confident and have strong customer service skills. Be able to multi-task under challenging and busy work environment, while being calm and courteous.
Job responsibilitiesYou should have the ability to perform complex administrative functions and will be responsible for receiving patients and visitors attending outpatient clinics taking ownership of escalated administrative issues where appropriate.
The receptionist works in close partnership with medical, nursing and the wider admin team to ensure the smooth running of the outpatients department.
Person Specification Education / Qualifications- GCSE or an equivalent qualification in English and Maths
- Reception experience within a customer service setting
- Experience of administrative systems and processes
- Good organisational and multitasking skills
- Ability to follow instructions; guidelines and process.
