Position Overview

We are seeking a Purchasing/Cellar Supervisor to coordinate and manage the hotel cellar operation, ensuring efficient procurement, inventory control, and supplier relationships.

Qualifications
  • Minimum 1 year managing a beverage cellar in hospitality.
  • Proven track record of managing internal stocktakes and overseeing external audits.
  • Experience using a diary management system.
  • Strong leadership, excellent communication (internal and external).
  • High level of organization, time management, and record keeping.
  • English language – native or bilingual proficiency.
  • Experience with Birch Street Purchasing system and/or Ven Powerstock system advantageous.
  • Prior experience rolling out a stock system an advantage.
Key Responsibilities
  • Support the Purchasing Manager in procurement, sourcing supplies such as food, beverages, and housekeeping materials.
  • Manage hotel purchasing, administer the cellar, control stock and deliveries, and handle budget lines for the cellar.
  • Ensure compliance of invoices, delivery notes, and requisitions with Starwood Hotels procedures.
  • Manage the cellar budget, check and process invoices, and resolve discrepancies promptly.
  • Set purchase orders based on usage, stock turnover, and cost‑of‑sales budgetary limits.
  • Participate in all internal and external stocktakes and audits.
  • Oversee logistics and distribution of general and beverage stocks throughout the building and departments.
  • Perform quantity checks on all received goods.
  • Maintain daily input of invoices, purchase orders, and requisitions and produce management information to aid decision making.
  • Be prepared to work additional hours during month‑end and weekends; the role involves physical handling of heavy items.
