Medical Education Assistant
Closing date: 29 July 2026.
Full‑time, county‑wide position covering Worcester Royal Hospital and Alexandra site. The role requires occasional travel between sites and flexible work hours.
Main Duties- Provide comprehensive administrative support for Medical Education, including to Tutors and the Director of Medical Education.
- Support the Chief Registrar, Medical Education Manager and Deputy Manager with day‑to‑day administration.
- Assist with the administration of local training programmes for junior doctors, including induction of new Doctors in Training and GPVTS teaching sessions.
- Maintain e‑Portfolios for trainees, ensuring all information is accurate and up to date.
- Raise and process invoices for room hire, annual fees and rent at the Charles Hastings Education Centre.
- Organise and coordinate GP study days and other training programmes, including liaison with suppliers, booking, invoicing and production of course documentation.
- Act as the first point of contact for Trust‑appointed Physician Associates, managing parking permits, s and access to the HORUS e‑Portfolio.
- Provide courteous reception to users of both Education Centres, answering phone calls and welcoming speakers on arrival.
- Maintain the Accredited Educational and Clinical Supervisors database, sending updates to the GMC quarterly.
- Process stationery orders and non‑stock requests via the Trust procurement system.
- Maintain up‑to‑date email contact lists and manage telephone enquiries, prioritising as required.
- Assist in the practical administration of meetings and events, including room layout adjustments and visual‑audiovisual arrangements.
- Travel between hospital sites and to off‑site meetings as required.
- Offer flexible hours and assist colleagues during busy periods or absences.
- Good organisational and administrative skills, demonstrated in a previous administrative role.
- Experience in a health‑related or education environment.
- NVQ Level 2 or GCSE level (including Maths and English) or equivalent qualification.
- Willingness to undertake further training.
Job Requirements
- Flexibility of hours worked.
- Ability to move furniture and equipment to accommodate courses.
- Willingness to cover short‑term absences of other colleagues in the Education Centres.
- Ability to travel between hospital sites in the Trust and to meetings off site.
- Helpful and willing to assist Education Centre users.
- Maintain confidentiality at all times.
- Demonstrate high interpersonal, assertive and diplomatic skills.
- Respond effectively to encountered issues.
- Work well as part of a team.
- Reliable and punctual.
- Excellent communication skills at all levels.
- Proficient in Microsoft Office.
- Confident telephone manner.
- Produce accurate and timely work.
- Prioritise tasks effectively.
- Use own initiative and work independently.
- Knowledge of the NHS structure and medical terminology.
- Basic understanding of Medical Education.
