Our client is a well-established and respected international business, specialising in the full-service distribution of premium beauty and cosmetics brands across the UK and internationally. With over 30 years' experience, they have built an excellent reputation for delivering exceptional service, quality and compliance, working with retailers of all sizes. Due to continued growth, they are now looking to appoint an experienced Executive Assistant to provide high-level support to their Managing Director.

The Opportunity:

Your goal:

In this role, you will provide executive level support to the Managing Director across business and personal requirements and ensure the Managing Director is fully prepared for meetings and appointments, with all necessary information, materials and logistics in place. You will play a key role in enabling the Managing Director to deliver company sales, business development and people strategy.

Key Responsibilities:

  • Provide executive level administrative support to the Managing Director for both business and personal requirements.
  • Manage diary arrangements, prioritise workloads, and ensure the Managing Director is prepared for all key meetings and commitments.
  • Organise meetings, including preparation of papers (as required), logistics are appropriate, taking notes and minutes as well as ensuring follow-up actions are completed where necessary.
  • Arrange travel and ensure all meeting and travel logistics are fully prepared in advance.
  • Support commercial action plans and help maintain client relationships.
  • Manage email correspondence and liaise on behalf of the Managing Director with the wider business.
  • Expenses management
  • Assisting with key account administration and business support
  • Handle key, confidential and sensitive documents with professionalism and discretion
  • Organising company activities and internal events
  • Support documentation preparation, using the full MS Office suite including Word, PowerPoint and Excel.
  • Liaise with internal and external stakeholders as necessary. This may involve UK and international travel.

Skills and Experience:

  • Demonstrable experience in an Executive Assistant, Personal Assistant or similar senior administrative support role.
  • Excellent diary management, organisation and prioritisation skills.
  • Strong written and verbal communication skills.
  • Confident note taker with the ability to produce clear, concise minutes and follow-up actions.
  • Strong MS Office skills, particularly Word, PowerPoint and Excel.
  • Gravitas necessary to handle confidential information with discretion.
  • Commercially aware with strong communication and relationship building skills.
  • Flexible, proactive and able to work well under pressure.
