Position Overview
We are seeking a Front Office Administrative Assistant to join our Redlands office. This role is essential to enhancing the client experience by providing operational and administrative support to two Administrative Assistants and two Financial Advisors. You will interact directly with clients, anticipate their needs, resolve issues, and ensure seamless service delivery.

Key Responsibilities

  • Greet clients and visitors, ensuring a professional and welcoming environment
  • Answer and manage incoming calls
  • Independently handle operational and processing tasks to fulfill client requests
  • Resolve client issues promptly and effectively
  • Generate daily reports, manage mailings, and perform data entry across multiple systems
  • Maintain Financial Advisors’ schedules and prepare meeting reports
  • Keep front office areas neat and organized
  • Order supplies and assist with special projects as needed

Requirements

  • Strong communication skills, both internal and external
  • Ability to multitask and remain professional under pressure
  • Proficiency in Microsoft Office Suite (Excel, Outlook; testing may be required)
  • Ability to sit for extended periods
  • Typing speed of 40+ WPM and basic math skills (testing required)
  • Must pass fingerprinting, criminal background check, and bankruptcy report per FINRA and Broker Dealer requirements
