We are seeking an Executive Administrative Assistant fully on site in Redmond, Washington.

Responsibilities- Proactively manage complex executive calendars, scheduling internal and external meetings across multiple time zones.
- Serve as point of contact for meeting logistics, rescheduling conflicts, and prioritizing time-sensitive requests.
- Lead planning and execution of internal events including offsites, team celebrations, quarterly meetings, and executive round tables.
- Manage logistics such as venue booking, catering, audio/visual setup, guest lists, event materials, and post-event follow-ups.
- Partner with internal stakeholders to ensure events align with company goals and culture.
- Arrange domestic and international travel for executives including flights, accommodations, transportation, and itineraries.
- Reconcile travel expenses and manage reports in compliance with company policy.
- Process invoices, purchase orders, and reimbursements in coordination with the finance team.
- Collaborate with HR and IT to coordinate onboarding logistics for new hires (equipment, accounts, workspace, welcome kits).
- Manage shared space logistics such as conference room booking, office supplies, and vendor relationships.
- Help maintain a welcoming, efficient, and functional workspace for hybrid or onsite teams.
- 5+ years of experience in an executive administrative or similar operations role.
- Strong proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams, Word, SharePoint) and other productivity tools.
- Proven experience coordinating logistics, events, or cross-functional initiatives.
- Exceptional attention to detail, organization, and time management.
- Ability to maintain confidentiality, handle sensitive information, and exercise sound judgment.
- Experience supporting C-level executives or working in a fast-paced, high-growth environment.
- 3+ years of calendar management experience.
- Strong interpersonal skills and ability to build trust with diverse stakeholders.
$28.00/hr – $35.00/hr
