The Legislative Coordinator provides high-level administrative, legislative, and technical support to Council members and the Executive Department. This position requires a self-motivated, detail-oriented professional with exceptional communication and interpersonal skills, capable of working effectively with a wide range of personalities and build strong, positive relationships in a tactful, diplomatic, and professional manner.
The incumbent plays a key role in supporting legislative initiatives and programs, coordinating meetings and calendars, and delivering superior internal and external customer service. This role demands initiative, independent judgment, and a strong working knowledge of City policies, procedures, and organizational structures.
This position regularly handles sensitive and confidential information and requires a high level of discretion. The Legislative Coordinator serves as a liaison between the City Council and other City departments, external agencies, community members, and regional stakeholders.
Schedule Details:
Monday – Friday, 8:00 a.m. to 5:00 p.m. In-Person This position is full-time and requires some weekends and evenings.

- Independently plan, coordinate, and manage the day-to-day functions and services, anticipating needs, and handling sensitive and confidential matters with discretion and professionalism.
- Provide high-level administrative support to all seven Council members, including calendar management, records maintenance, correspondence drafting, and email oversight.
- Offer administrative support to the Chief Policy Advisor as needed.
- Conduct research and policy analysis to support Council initiatives and legislative decision-making and assigned projects; collect, compile, and interpret information.
- Attend weekly Council meetings – including Committee of the Whole, Special Meetings, and evening session – ensuring accurate follow-up on action items and coordination (e.g., order dinner for Council members when needed)
- Attend bi-weekly agenda-setting and update meetings with Council Leadership; take detailed notes and follow up on action items.
- Serve as primary liaison between Council members and internal staff, community members, and external stakeholders, fostering clear communication and efficient collaboration.
- Coordinate and track responses to constituent emails by working with the monthly Council Ombuds, ensuring timely resolution and maintaining comprehensive records throughout the process.
- Manage meeting requests from Council members, including logistics, scheduling, location coordination, agenda preparation, note-taking, and tracking post-meeting action items (e.g., subcommittee meetings).
- Lead planning and coordination with the Communications and Parks teams for Council-hosted community events, annual Council retreat, and citywide community engagement events throughout the year.
- Monitor and manage Public Records Requests on behalf of Council members, ensuring compliance and timely delivery.
- Regular maintenance and updating of the Council SharePoint site
- Track and report on the Council’s biennial budget using Microsoft Power BI, providing updates and support for budget-related processes.
- Coordinate Council member travel arrangements, including registration, lodging, per diems, and reimbursement processing through SAP Concur.
- Manage and coordinate new Council member onboarding
- Assist in creating and implementing the Legislative Coordinator position workplan for additional process improvements and goals for the role.
- Review correspondence and documents for accuracy, consistency, and adherence to established standards (e.g., Council Policy Proposal document).
