This role partners with the firm's investment and wealth management professionals to deliver a high-touch client experience; independently manages complex client-service and account-administration work; and collaborates closely with Wealth Advisors, Associate Wealth Advisors, and the Client Service Manager.

The successful candidate brings sound judgment, strong follow-through, and the ability to coordinate multi-step client matters from receipt through completion.

Responsibilities
Client Service and Account Administration
  • Serve as a primary point of contact for client-service requests and communicate clearly, professionally, and promptly with clients and internal partners.
  • Monitor custodial alerts, including cash-management activity, account updates, and trade-related alerts; research, coordinate, and document resolution.
  • Independently manage complex account maintenance, account-opening, transfer, money-movement, documentation, and follow-up activities within established firm procedures.
  • Coordinate onboarding and transition-related service work, maintain accurate records, and ensure required client and custodial documentation is complete before submission.
  • Record client inquiries, service changes, and account activity in the CRM; track outstanding requests, identify potential delays or risks, and drive timely resolution or escalation.
Advisor and Team Support
  • Partner with Wealth Advisors to prepare for client meetings, organize materials, coordinate logistics, and complete post-meeting follow-up.
  • Keep advisors and the Client Service Manager informed of client matters, competing priorities, deadlines, and unresolved items.
  • Meet regularly with advisors and service partners to prioritize workload, provide timely status updates, and elevate client-service concerns when appropriate.
  • Support prospect, client, and community-facing activities through scheduling, materials coordination, client communications, and follow-up.
  • Provide reliable administrative and operational support that allows advisors and Associate Wealth Advisors to focus more time on planning, relationship management, and growth activities.
Operational Coordination and Process Improvement
  • Coordinate effectively with Central Operations, Account Services, trading, custodial partners, and other internal teams to move client work forward.
  • Maintain high-quality CRM and document-management records, including notes, task status, client information, and required follow-up.
  • Identify workflow gaps or recurring service issues and recommend practical improvements that strengthen accuracy, timeliness, and client experience.
  • Participate in team initiatives and collaborate with leadership on projects that streamline firm policies, procedures, and client-service workflows.
  • Serve as a knowledgeable resource on day-to-day client-service processes and share best practices with team members as appropriate.
Qualifications
  • Four or more years of progressively responsible client-service, account-administration, or operations experience, preferably in wealth management, investment advisory, or financial services.
  • Demonstrated experience managing multi-step client requests with accuracy, sound judgment, and strong follow-through.
  • Experience with account-opening and maintenance workflows, client documentation, money movement, transfers, and custodial service processes.
  • Strong proficiency with Microsoft Office and the ability to learn and use CRM, document-management, and custodial platforms. Experience with Salesforce or comparable CRM systems is preferred.
  • Bachelor's degree preferred, or an equivalent combination of education and relevant professional experience.
  • Relevant financial-services registrations are a plus.
Core Competencies
  • Client-focused communication and professional presence
  • Attention to detail, accuracy, and confidentiality
  • Ownership, accountability, and proactive follow-through
  • Ability to prioritize competing deadlines and manage a high volume of work
  • Problem-solving judgment and appropriate escalation
  • Collaboration across advisors, operations, and service teams
  • Alignment with Beacon Pointe's F.A.C.E.S. values:
