General Summary

The individual will be responsible for Social and Wedding accounts; managing an account base consisting of unsolicited inquiries, repeat/referral business, and appropriate accounts as assigned. Responsible for the sale of the business and assist in servicing the customer’s needs. Candidates must have open availability including occasional evenings, weekends, and holidays.

Essential Functions
  • Respond to all unsolicited sales inquiries in a timely manner and avoid the need to call the customer back.
  • Maintain a 100% achievement of revenue goals on a quarterly basis.
  • Manage wedding & social events and ensure at least ten (10) social room block requirements on peak nights.
  • Determine the customer’s needs, space availability, event details, and food & beverage requirements.
  • Evaluate profitability, timeliness, and desirability of the business; negotiate pricing and aggressively close the sale.
  • Build and maintain professional business relationships and complete outside sales, telephone prospecting, and e‑blast promotions regularly.
  • Apply solid knowledge of Delphi and understand book guidelines and rate parameters.
  • Coordinate all support service departments and assigned events (house attendants, banquets, engineering, front office, accounting, housekeeping, communications, etc.).
  • Inspect all event arrangements (set‑ups, meals, audio‑visual operations, and support services) prior to each event.
  • Communicate with hotel management and outside vendors to ensure the sale commitment is fulfilled.
  • Distribute written communications detailing the needs of the customer and sales commitment (resumes, event orders, etc.).
  • Establish customer relationships that encourage repeat business.
  • Maintain knowledge of all hotel services/features and hours of operation.
  • Use all office equipment, computer and manual systems proficiently.
  • Set up workstation with necessary supplies and maintain cleanliness throughout shift; greet all individuals courteously.
  • Maintain up‑to‑date files to coordinate sales commitments and customer needs.
  • Analyze and identify booking trends and patterns to maximize revenue opportunities.
  • Attend and participate in revenue meetings and other meetings as requested.
  • Act as a liaison with competitors and industry associations to keep the hotel competitive.
  • Prepare contracts, rate proposals and maintain property information databases; keep account files including signed contracts with current direct‑bill applications.
  • Ensure clients on direct billing pay in a timely manner and serve as liaison between hotel and accounts regarding billing.
  • Anticipate guests’ needs, respond promptly, and acknowledge all guests regardless of time.
  • Participate in hotel and departmental functions for clients and associates.
  • Practice professional telephone etiquette, answer phones, and ensure messages are detailed, legible, and accurate.
  • Adapt and contribute to a positive environment and cooperative spirit within the sales and catering division.
Non‑essential Functions

May perform other related duties as required.

Requirements
  • Education:

    2‑year degree or related experience preferred.
  • Experience:

    Minimum of three (3) years’ hotel sales experience.
  • Technical:
    Knowledge of MS Office (Excel, PowerPoint, Word, Outlook) and Delphi.
Organizational Relationships
  • Reports to:

    Director of Sales and Catering.
  • Interfaces with:
    Sales and Catering Department;
    Hotel Operations.
Working Conditions

Normal office environment with no extreme exposure to work hazards or environmental concerns.
