Cornwall Heritage Trust is a charity based in Redruth with the aim of preserving and strengthening Cornwall’s heritage. Last year we celebrated our 40th anniversary and took the time to reflect on the way in which the charity has grown and transformed during that time. With our new strategic plan starting this year we are focused on ensuring our organisational resilience and financial sustainability to ensure that we are able to champion Cornwall’s heritage for at least another 40 years!

We are looking for a well-organised self-starter to join our busy team. They will have excellent administrative skills, be a natural problem-solver, have an eye for detail and be a committed team player. A passion for Cornwall and its history goes without saying!

The successful candidate will provide day-to-day administrative support to the Senior Leadership Team; this will comprise management of diaries, inboxes, correspondence and liaison with external partners as well as providing support for various projects and programmes. In addition, it is anticipated that this role will work alongside our admin team to provide a welcoming and efficient first point of contact for the organisation and carry out the day-to-day administrative tasks as required.

Some evening and weekend working may be required, however, plenty of notice will be given.

This role is offered on an initial fixed-term contract of twelve months due to the ongoing restructuring and evolution of the organisation.

Key Responsibilities

The following provides a flavour of the responsibilities included within this post, however, it does not represent an exhaustive list; as a small team everyone is required to be flexible and adaptable.

PA support to the Senior Leadership Team (SLT)

  • Support the daily running of the office e.g. organising meetings and liaising with suppliers and contractors
  • Provide assistance with trustee administration e.g. formatting and monitoring policies, collating and circulating meeting papers etc
  • Support administration around staffing e.g. printing papers for interviews and minute taking of staff meetings
  • Ensure the SLT’s daily activities run smoothly
  • Liaise with a variety of external stakeholders – could be donors, funders or partner organisations
  • Collaborate with the wider team on behalf of SLT
  • Carry out other tasks as directed by SLT

General Administration

  • First point of contact for enquiries from the general public by telephone, email and via the various digital channels
  • Management of incoming and outgoing correspondence (postal and electronic) including posting CHT mail and booking post office collections when needed
  • Inbox management and dissemination
  • Maintenance and updating of the filing systems, including those held electronically
  • Support with data entry, record keeping and maintenance of the various databases – accurately and in a timely manner
  • Provision of basic IT support e.g. arranging new starter email addresses and logins
  • Circulation of documents before/after meetings
  • Booking meeting accommodation and organising appropriate equipment (projectors, flip charts etc)
  • Assist with event management e.g. bookings, administration and logistics
  • Help to ensure accurate collection and recording of attendee and engagement data
  • Provide support to the marketing and fundraising team
  • Support the team when colleagues are absent, being able to accommodate this need for flexibility

Other

  • Attendance at events and functions to represent the Trust
  • Support the wider team to achieve the Trust’s strategic aims
