Job Title: Practice Coordinator
Location(s):Redwood City, CA
Position SummaryThe Practice Coordinator supports daily operations of a high-volume specialty clinic, with a strong emphasis on prior authorization, surgery scheduling, and front- and back-office coordination. This role requires recent, hands-on experience performing prior authorizations within a specialty care setting and daily use of Epic/APeX to manage authorization work queues, referrals, and scheduling workflows. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced clinical environment.
Key Responsibilities- Perform high-volume prior authorization processing for specialty services and procedures.
- Utilize Epic/APeX daily for authorization work queues, referrals, and appointment/surgery scheduling.
- Conduct insurance verification, follow-up with payers, and resolve authorization issues.
- Coordinate care with providers, clinical staff, and external payers.
- Support front desk operations including patient check-in/check-out and patient inquiries.
- Assist with back-office administrative workflows and clinic coordination.
- Schedule surgeries and procedures in alignment with provider and facility requirements.
- Maintain accurate documentation and ensure compliance with clinic and payer policie.
- Recent, hands-on prior authorization experience in a specialty clinic environment (e.g., Orthopedics, Oncology, Imaging, ENT, or other surgical specialties).
- Demonstrated experience with high-volume authorization processing and insurance follow-up.
- Daily proficiency using Epic/APeX for authorizations, referrals, and scheduling.
- Experience supporting both front and back office clinic operations.
- Ability to manage multiple tasks simultaneously in a fast-paced setting.
- College degree with a minimum of 6 months of relevant healthcare experience,
or - Minimum of 2 years of healthcare administrative experience
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- High attention to detail and accuracy.
- Proficiency in Epic/APeX and Microsoft Office Suite.
- Ability to work independently while collaborating effectively with a multidisciplinary team.
- Estimated clinic volume: 30-50 patients per day.
- Day | 5x8-Hour (08:00-17:00)
- Monday-Friday, 8:00 AM-5:00 PM
