Reports To: Senior Accountant / Controller

Pay Rate: $18.50-$20 per hour / Full-Time

Position Summary

The Accounting Assistant is an entry-level role that provides administrative and clerical support to the accounting department across multiple entities. This position supports daily accounting operations through data entry, document organization, coordination, and office support tasks under the direction of senior accounting staff. It is designed for someone looking to build foundational accounting experience in a structured, supportive environment.

Key Responsibilities
  • Enter vendor invoices, customer invoices, and basic accounting data as assigned
  • Open, sort, and distribute incoming mail, including invoices, checks, and accounting-related correspondence
  • Prepare outgoing mail related to accounting and administrative requests as needed
  • Organize and upload financial documents into accounting systems and shared drives
  • Assist with Accounts Payable and Accounts Receivable tasks such as invoice intake, routing for approval, and filing
  • Track documentation and follow up internally on missing information
  • Maintain vendor and customer files, including W-9s, lien releases, and insurance certificates
  • Support month‑end and year‑end close preparation by gathering documents and completing checklists
  • Assist with preparing basic spreadsheets and reports for internal use
  • Coordinate with other departments to help route accounting requests appropriately
  • Use Click Up or similar tools to track assigned tasks and deadlines
Qualifications Required
  • High school diploma or equivalent
  • 0–2 years of administrative, bookkeeping, or office experience
  • Strong attention to detail and organizational skills
  • Basic computer skills and comfort using Excel or Google Sheets
  • Ability to follow instructions and work within established processes
Preferred (Not Required)
  • Coursework in accounting or finance
  • Exposure to accounting software (Quick Books or similar)
  • Construction or multi‑entity business experience
